Overview

JOB SUMMARY

 

The Administrator - Communications, of Communications, Media & Public Relations is based in Jefferson County and is required to travel throughout the service area. The incumbent reports directly to the division director; and County Clerk and serves as a sworn deputy Clerk. The incumbent primarily assists the divisional director to coordinate, plan, and organize media and special events; write and edit documents; produce internal/external publications; photograph and video events; and utilize publishing and photo editing software.


Job Skills / Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Assists the division director with coordinating, planning, and assembling of divisional/agency activities such as: media events, ribbon cuttings, grand openings, employee events and special events/projects
  2. Assists the Administrator – Events, when necessary, with coordinating, scheduling, organizing, training, set-up, and manning fairs, festivals, parades, and special events
  3. Assists the division director with media inquiries: such as, providing appropriate information to the media, assisting with setting up interviews, and assisting with the preparation and distribution of press releases
  4. Works with all internal departments, outside agencies, businesses, and organizations
  5. Coordinates, schedules, plans, prepares lesson plans, and makes presentations on behalf of the JCCO for the Voter Outreach educational program throughout Jefferson County
  6. Uses graphic art software to create and design promotional materials such as: advertising ads, brochures, posters, and flyers
  7. Produces the quarterly Employee Edition newsletter, coordinated with the County Clerk. spotlighted employees, photographing employees, writing articles, design, and layout of the publication, and uses publishing and photo editing software to finalize the document.
  8. Contributes articles and photographs to the quarterly publications VIP, Dealer Update, and the Deed Room Dispatch; performs onsite interviews when necessary.
  9. Proofs and edits documents such as newsletters, internal/external JCCO publications, and correspondence
  10. Drafts correspondence and replies to customer inquiries and concerns, per the divisional director or County Clerk’s request
  11. Research data that may be relevant to the divisional director or County Clerk as they make decisions for the agency
  12. Works closely with the Website Administrator and the Information Technology Division to ensure quality finished products
  13. Maintains records and files for the office
  14. Maintains inventory on office supplies, manages the JCCO internal phone list and orders business cards for the agency
  15. Works on special projects and other related work, as required
  16. Other duties as assigned

 

MINIMUM QUALIFICATIONS

  1. Kentucky resident
  2. Able to be bonded
  3. Associate Degree in Communications, Journalism, Public Relations, Marketing, Business Management, Public Administration, or a related field; and
  4. Two years of related public relations, communications, journalism, public service or related JCCO experience
  5. An equivalent combination of education and similar experience may be substituted
  6. Effective written and verbal communications skills
  7. Ability to use photography, video, and election equipment
  8. Ability to plan, organize, coordinate schedules for media and special events
  9. Ability to establish goals and priorities
  10. Ability to maintain confidential information and materials
  11. Ability to exercise judgment and discretion
  12. Skilled in the use of computers and computer software, such as, but not limited to, MS Office products, MS Publisher, Photo Shop, Page Maker, and other office equipment

 

 PHYSICAL DEMANDS

The work is primarily sedentary in nature. It requires some travel. It requires the ability to communicate effectively using speech, vision, and hearing. The work requires the use of hands for simple grasping and fine manipulations. The work at times requires bending, squatting, reaching, with the ability to lift, carry, push, or pull light weights.
