Job Description
We are looking for a Fairgrounds Manager to join our team.
Jefferson County Fair and Fairgrounds is funded, maintained, and operated year-round by the Jefferson County Fair Association, a non-profit corporation. The Fair provides wholesome entertainment and competition for those who live in, and around, Port Townsend Washington a quaint Victorian seaport located on the beautiful Olympic Peninsula.
GENERAL DESCRIPTION OF POSITION
Manage all aspects of the fairground’s operations including activities held at the fairgrounds, facilities operation and maintenance, fairgrounds budget and marketing of the fairgrounds year-round, marketing the annual County Fair, promotion and support of fairgrounds events, space rentals, and supervision of assigned staff. Manages a budget. Coordinates implementation of policies and works under the direct supervision of the Jefferson County Fair Board.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Year-Round Rental of Commercial and Concessions booths in accordance with established policies.
· Order and purchase all consumable event supplies. (i.e., ribbons, promotional items, restrooms supplies, entry tags, tickets, etc.)
· Preparing and publishing fair/event brochures, posters, event boards and flyers. Putting out signs around the City and County.
· Preparation, processing and/or review of all entertainment contracts based on prior approval of the Entertainment Superintendent.
· Organize, coordinate and actively recruit volunteers to assist with events.
· Advertise and positively promote the annual Jefferson County Fair and other events that utilize the fairgrounds facilities.
· Preparation of documents required to receive Washington State Department of Agriculture funding allocation. (i.e., fair event report and year-end recap report)
· Work courteously and tactfully with diversified user groups (4-H, FFA, Open Class, Concessionaires, Commercial Vendors, Building Superintendents, Exhibitors, Volunteers, etc.) in order to ensure a quality event.
· Respond in a timely manner to all complaints/questions and promote prompt settlement of such complaints.
· Coordinate and solicits events at the Fairgrounds, to ensure optimum usage, both during the Fair and during the off-season.
· Preparation of budget documents with the help of the treasurer in accordance with Fair Board’s recommendation. To ensure all events and operations at the fairgrounds are within budget. Monitor revenues and expenditures to ensure effective an efficient use of budgeted funds.
· Organize, coordinate and update the annual County Fair Association Premium Book including the solicitation of advertisement associated with the publication.
· Opens and closes fairgrounds and facilities for off-season event users.
· Maintain a professional business office on the Fairgrounds. Answer phones and return voice mail, check e-mail and answer, forward E-mail to the appropriate party. Pick up mail at the Post Office daily.
· Develop, organize and coordinate sponsorships that create new displays, activities, events and facility usage.
· Recruit event volunteer/staff. Coordinate with the Vice President to recruit fair time staff for maintenance/grounds functions (i.e., security, restroom attendants, and garbage attendants). Submit recommendations to the County Fair Board.
· Organize, attend and/or conduct training meetings for all fair user groups, volunteers and event staff (i.e., Superintendent’s meetings, food handlers’ class, etc.)
· Coordinate with all forms of media to ensure the maximum coverage of the annual Jefferson County Fair.
· Prepare and present oral and written reports to the Fair Board. Other related duties as assigned.
Non-Essential Functions
· Attend workshops, seminars, and educational sessions to keep updated on trends, practices and innovations in fairgrounds management and administration.
· Coordinate community events, open houses, and other activities to facilitate patron and community relations and to promote the fairgrounds and the services it is capable of providing so many different venues.
· Perform other duties as assigned including but not limited to managing special projects, assisting with set up and take down of equipment, cleaning restrooms, floors and facilities as needed performing grounds maintenance, attending meetings, providing backup for other staff, etc.
Minimum Qualifications, Education and Experience
Education or experience equivalent to a four-year degree in business or related field and a minimum of two years of experience in marketing and advertising, event planning and facilities use, maintenance and upkeep, management, and administration, or any combination of education and experience which indicates the possession of the knowledge, skills, and abilities. Prior experience working with volunteer groups is desirable. Familiarity with fairs, 4-H and FFA programs.

· Strong organizational skills; extremely detail oriented, neat and orderly.
· Proficient in Microsoft Word, Excel, Publisher and Outlook.
· Valid State Driver’s License and reliable transportation.
·Physical Requirements & Working Conditions
Ability to access all areas of the fairgrounds, enter and access information from computer system, operate general office equipment. Works in office conditions and in all areas of fair grounds

Salary Range and Hours
This job requires a minimum of 30 hours per week and a maximum of 40 hours per week. Scheduled office hours of 9:30am to 3pm Monday through Friday. The remaining hours will be “floating hours” which can be worked into any other part of a day or evening as needed to fulfill the duties of the job. Salary 40,000.00 to 50,000.00.
