GENERAL SUMMARY AND POSITION PURPOSE

The Social Services and Domestic Violence receptionist, under the supervision of the Social Services Director, shall undertake and perform various duties with ease and competency to assist with the essential functions of the department. These tasks include greeting visitors and clients and performing necessary administrative duties. The selectee for this position will also focus on supporting survivors of domestic violence, provide direct services, advocacy, and administrative support to ensure the program operates smoothly.

EDUCATION / EXPERIENCE

  • High School Diploma and HI SET Equivalency and at least one year of receptionist or closely related experience.
  • Must be at least twenty-one (21) years of age.
  • No felony, theft, stealing, or drug convictions.
  • Must be able to pass a pre-employment drug/alcohol screen.
  • Must submit to a criminal background and fingerprint check in compliance with the Louisiana Child Protection Act (LA R.S. 15:5871.0) and Louisiana Adult Protection Services Law (LA R.S. 15:1501-1511).

KNOWLEDGE, SKILLS, AND ATTITUDES SPECIFIC TO THE JOB

  • Welcome and greet visitors upon arrival and connect with the appropriate staff.
  • Answer the telephone promptly and direct calls to the correct offices.
  • Schedule meetings.
  • Perform light bookkeeping and financial record-keeping.
  • Retrieve, sort, and deliver the SSD mail to the post office when needed.
  • Respond to ICWA requests as they are received.
  • Create and manage digital and hard copy filing systems for clients and administrative information.
  • Provide necessary and accurate information in person and via phone or email.
  • Maintain building security by following procedures, including locking building doors, hall doors, and filing cabinets.
  • Ensure the reception area, family room, conference room, and kitchen are tidy and presentable.
  • Order office and program supplies-maintain an accurate inventory of stock
  • Shop for SSD/ED on special occasions or for events.
  • Assist with event planning and implementation.
  • Maintain a daily job log noting completed tasks.
  • Complete a monthly report and submit it to the supervisor as requested.
  • Complete any other tasks as assigned by your supervisor.
  • Responsible for coordinating victim services and victim advocacy
  • Collect and provide data quarterly for the fiscal and program reports for the NADVP.
  • Establish and develop rapport with domestic violence survivors and provide intake to assess the needs of survivors.
  • Support program operations including client intake, referrals, and coordination of services
  • Provide advocacy, crisis intervention, skills training, psychoeducation, and case
  • management
  • Provide care coordination including facilitating follow up encounters and assisting clients in accessing shelters, counseling, treatment facilities, JBCI departments' resources, and other essential services
  • Assist clients with guidance within the legal and court system, including advocacy,
  • protective orders, court accompaniment, and referrals
  • Foster a collaborative environment by working closely with JBCI providers who share clients with the DVSS
  • Participate in and contribute to interdepartmental meetings (huddle, quarterly meetings, etc.) and the bi-weekly (or as scheduled) department staff meetings Maintain timely documentation for encounters and case files
  • Maintain documentation of services and activities connecting program data to grant goals, assisting with grant reporting. Assist with completing quarterly grant program reports through the Office of Justice Programs and E-Grants.
  • Perform administrative duties including scheduling, correspondence, resource management, office coordination, and collaboration with personnel to maintain a resource "phonebook" Conduct and/or facilitate outreach, educational workshops, psychoeducation media (handouts, informational posts, etc.), community outreach efforts, and general program activities on domestic violence and other department areas.
  • Ability to become knowledgeable about ICWA (Indian Child Welfare Act) and HIPP
  • Coordinate, support, and implement programs and services through education, prevention, and intervention to facilitate programs for tribal members with guidance from the supervisor
  • Read, understand, interpret, and implement applicable parish, state, and federal statutes, rules, ordinances, and codes and administrative orders, case law, policies, and procedures
  • Subject to on-call "24-hour crisis hotline" system
  • Assist in developing and implementing various social services, mental health, and related programs
  • Identify and solve complex problems through assessment and analysis, and be able to prepare, present, and implement solutions

  • Must be able to manage multiple tasks and meet task deadlines.
  • Ability to occasionally travel and work irregular hours, including evening meetings and events.
  • Knowledge of or willingness to learn Native American history and heritage. Cultural sensitivity and ability to work within the customs and traditions of native American tribal members.
  • Proficient in grammar, spelling, math, and filing.
  • Strong public relations skills.
  • Excellent organizational skills and attention to detail.
  • Must possess excellent verbal and written communication skills.
  • Ability to collaborate and work with other departments and directors.

COMPUTER / OFFICE EQUIPMENT SKILLS

  • To perform this job successfully, an individual must be proficient or able to learn and use Microsoft Office software, Spreadsheet software, work within Google Workspace, Internet, and other software programs as needed.
  • Requires the ability to use, operate, and handle equipment such as a computer, copier, calculator, fax machine, or telephone. This is not an all-inclusive list.

JOB LOCATION

This position will be at the Social Services Department in Trout, Louisiana. This position requires reasonable travel for training, consultation with medical and social services providers, and to provide services for tribal members.
