JEVS Human Services currently has an exciting opportunity to join our Work Ready program as an Administrative Accounting Assistant! As the Administrative Assistant you will be responsible for managing financial and administrative tasks related to the disbursement of grant funding to support client assistance programs, including incentive disbursement & reconciliation, Furniture Assistance, Homelessness Prevention, and Utility Assistance.
This role, located in our headquarters office in our Center City Philadelphia, offers flexibility and a hybrid environment, including 3 days each week on-site and 2 days remote. This position is full time, 35 hours per week.
General Job Duties :
- Ensure that all assistance programs meet city and state compliance requirements by maintaining accurate records and following up on required documentation
- Track program budgets related to client assistance programs to ensure funds are allocated appropriately and remain within program guidelines.
- Conduct internal audits of assistance programs to verify compliance with city and state regulations and to prepare for external audits.
- Assist staff with inquiries regarding assistance programs, ensuring that all questions are addressed accurately and professionally.
- Monitor and document distribution of assistance funds, including client incentives, to ensure proper usage and compliance with grant and program guidelines.
- Create and maintain tracking spreadsheets for assistance programs to monitor requests, approvals, distributions, and budget usage.
- Support the management team in addressing client concerns and resolving discrepancies in assistance program applications and payments.
- Assist with Maintaining and organizing client case files to ensure documentation is up-to-date and audit ready.
What we are looking for :
High school education or equivalent
Three years of relevant work experience
Familiarity with basic accounts receivable (AR) and accounts payable (AP) principles.
Experience in managing budgets, conducting audits, and ensuring regulatory compliance.
Detail oriented as it relates to reconciling AR and AP.

The base pay for this position ranges from $42,000 to $52,000 and will vary based on factors such as skills and experience. Base pay is one part of the Total Compensation that JEVS Human Services provides to recognize employees for their work.
