JOB SUMMARY:
The Office Coordinator manages the day-to-day office operations of the JAA Home Health Service. He/she is responsible for providing oversight of clerical and reception support, data entry in electronic medical record for billing and payroll and maintaining patient medical records.
JOB DUTIES / RESPONSIBILITIES:
- Providing excellent customer service to the residents and to coworkers by demonstrating respect and concern.
- Oversight of all secretarial staff duties such as receiving, composing and editing letters, faxing medical information and orders to appropriate places, taking and distributing minutes of meetings, managing records, ordering supplies, arranging meetings.
- Preparing payroll documentation and entering into proper system and submitting in a timely fashion.
- Preparing and submits monthly expense reports to Director and submits to A/P department.
- Preparing monthly billing statements on a daily basis for submittal to the A/R department for transmission to proper insurance companies.
- Maintains oversight of the processes relating to the electronic medical record and OASIS Download.
- Maintains oversight and control of office supply inventory and medical supply inventory.
- Maintains oversight of data entry into the Agewell data base.
- Maintains Employee HR files in collaboration with Home Health Manager.
- Department resource for IT/computer problems. Communicates and collaborates with IT/computer person from JAA.
- Attends continuing education programs and staff meetings.
- Performs other related tasks as requested by the manager.

REQUIRED EDUCATION, TRAINING AND EXPERIENCE:
- High school graduate or GED Equivalent. Associate Degree in Business or related field preferred.
- Demonstrate excellence in typing, record keeping and filing.
- Demonstrate excellence in both written and oral communication skills
- Knowledge of medical terminology preferred.

PHYSICAL REQUIREMENTS:
- Lifting: Regularly lifts and moves patients, equipment, patient supplies. Frequently lifts up to 40 pounds. Occasionally lifts and moves patients unassisted up to 50 pounds.
- Carrying: Carries medical supplies, and other items, weighing up to 30 pounds.
- Pushing/Pulling: Pushing and pulling is required when administering patient therapy and care.
- Climbing: Ability to use stairs, curbs, and walkways in order to access patient’s functional abilities.
- Bending: Required when administering patient care.
- Reaching/Turning/Twisting: May be required when administering care.
- Repetitive Motions: Hands: required for certain aspects of patient care such as simple grasping, fine manipulation.
- Feet: Ability to walk and stand for various duties.
