What are the responsibilities and job description for the Administrative Assistant position at Jewish Community Council of Greater Coney Island?
The Jewish Community Council of Greater Coney Island's Cure Violence Program is seeking a passionate and detail-oriented Administrative Assistant. This role will provide support to the Cure Violence Program Director, with responsibilities including, but not limited to:
- Preparing of expense reports for auditing and invoicing purposes.
- Assisting with daily administrative tasks regarding overall office management, organizing the office schedule and office activities.
- Organizing and coordinating all program calendar invites, ensuring all necessary reading materials and agendas are included.
- Preparing, reviewing and submitting written material prepared by staff.
- Maintaining and updating files, both hard copy and electronic.
- Recommending purchase of materials or resources needed for office staff or participants.
- Reviewing and correcting typed material to ensure correct spelling, punctuation and proper format.
- Responding to routine telephone calls and referring calls, visitors and guests to the appropriate staff.
- Performing basic word processing assignments as needed using a personal computer, word processing equipment or another automated office equipment.
- Coordinating program and community event logistics and participating in programmatic and community events.
- Conducting an inventory of office supplies and ensuring that inventory records are maintained and reviewed quarterly.
- Excellent communication, planning, organizational and multi-tasking abilities.
- Other duties as assigned
- GED/High School diploma required. Prior experience in an administrative role preferred.
- Supervision : Administrative Assistant reports to the Program Director.
- Work Schedule : 40 hours per week. Weekly schedule is Monday-Friday 10am-6:30pm, including 30 minutes for lunch. Schedule subject to change based on programmatic need, at the discretion of program leadership.
- Language Skills : Strong written and verbal communication skills. Fluency in reading and writing the English Language
- Mathematical Skills : Ability to perform addition, subtraction, multiplication and division via use of a calculator
- Computer Skills : Proficiency in Microsoft Office Suite, data entry; and knowledge of computer networking processes
Reasoning Ability : Ability to make determinations of best procedures and practices to attain goals of the position. - Physical Demands : Ability to lift 15 pounds
- Working Conditions : Work is performed in person at the Cure Violence/ Operation Hood site
