ADMINISTRATIVE ASSISTANT - RECEPTIONIST
Job Summary
Provide administrative and clerical support to the Agency, including overseeing the reception area and greeting the public.
Minimum Qualifications
Education
High School diploma or equivalent, AA degree preferred.
Experience
Experience in customer service, front office work, secretarial, accounting or bookkeeping background preferred.
Primary Job Functions
- Provide reception and clerical support, greeting clients and visitors and responding to various questions and requests.
- Ordering and maintaining supplies for the Agency.
- Maintaining and updating an employee emergency list with current job title and cell phone numbers. This helps with hurricane preparedness and all emergency conditions.
- Creating and managing Vendor lists with names and contact numbers.
- Operate a multi-line telephone system, directing incoming calls to appropriate personnel.
- Assist in the preparation and distribution of correspondence. Distribute incoming mail and facsimiles in a timely and accurate manner.
- Maintain front office, lobby, and waiting rooms – checking daily.
- Ensure that office supplies are distributed and that the office supply closet and janitorial supply closet are neat and orderly.
- Assist in set-up of boardroom and other areas used for meetings and visitors.
- Assist staff with various clerical and administrative tasks yet to be determined.
- Complete other duties as assigned.
Periodic Job Functions
