Job Overview
POSITION SUMMARY
The Executive Assistant is a full-time, non-exempt employee of the Jewish Federation of Greater Toledo (JFGT), working 37.5 hours per week, responsible for all aspects of executive and administrative support to the JFGT Chief Executive Officer, Donor Development and Women’s Philanthropy Officer, Vice President Community and Government Relations, the Community Asset, Safety and Manager and the Director of the Ruth Fajerman Markowicz Holocaust Resource Center. The Executive Assistant plays a key role in ensuring an efficient and effective support structure for the entire JFGT. The Executive Assistant will work as a member of the team promoting a positive attitude, teamwork, and feeling of well-being towards the JFGT team, community members and the local, national and international communities JFGT interacts with and serves.
JOB REQUIREMENTS
A minimum of a associate degree or equivalent from an accredited institution of higher education and at least five years prior experience in a direct or related area. Excellent written and verbal skills. Ability to read, speak, write, and spell English proficiently with comprehension and accuracy; ability to present oneself positively to the public and co-workers, to work well under pressure, and ability to follow and give clear directions. Must possess good organizational skills and be proficient in Microsoft Office Suite including Outlook, Word, PowerPoint, Excel and Teams. Prior knowledge and experience with CRM software or with non-profit donor databases and SharePoint a plus. Without such prior knowledge and experience, must possess ability and desire to learn how to use software; Must have a commitment to excellent donor-centered service and be able to verbalize and exhibit behavior showing an interest and commitment to fulfilling JFGT’s mission. Must maintain confidentiality of donor records in accordance with JFGT policies. Ability to work evenings and on Sundays on occasion. Position requires in-person work at the JFGT offices.
REPORTING
The Executive Assistant reports directly to the JFGT Chief Executive Officer first and foremost, for all purposes related to planning, coordination and execution of the responsibilities detailed below. In addition, the Executive Assistant will provide clerical support as requested by the Donor Development and Women’s Philanthropy Officer, Vice President Community and Government Relations, the Community Asset, Safety and Manager, and the Director of the Ruth Fajerman Markowicz Holocaust Resource Center.
Responsibilities
A. Directly provide clerical and administrative support necessary for the work and organization of the JFGT Chief Executive Office, Donor Development and Women's Philanthropy Officer, VP Community and Government Relations, Community Asset, Safety and Manger and the Director of the Ruth Fajerman Markowiz Holocaust Resource Center
B. Answer phone, take and deliver messages timely and accurately
C. Schedule and arrange travel and complete disbursements and reimbursements.
D. Schedule meetings (including Zoom events), issue notices, prepare agendas, obtain and assemble consent reports from JFGT Vice Presidents, prepare accurate minutes and arrange for distribution of same as required by the Chief Executive Officer for all JFGT- related community, board and committee meetings using OnBoard Meeting software as appropriate
E. Arrange and coordinate logistics, technical requirements, locations, meals/snacks for meetings, events and/or programs
F. Coordinate, maintain, publish and distribute the Community calendar, office closure calendar and 4-year Jewish holiday calendar
G. Track community deaths and prepare condolence letters
H. Organize and maintain SharePoint files, filing system, contact database and inventory files
I. Receive, log and process contributions received by JFGT
J. Provide programming support as requested
K. Update and maintain office policies, procedures and organizational documents
L. Recognize needs and address same with little or no supervision
M. Attend Community Annual Meeting and other community events as reasonably requested
N. Complete special projects, analysis and other duties as reasonably requested
O. Present positive, friendly, cooperative, flexible and donor-centric attitude
Job Type: Full-time
Pay: $48,000.00 - $50,000.00 per year
