Description

We serve a diverse clientele including retail fueling stations, commercial and government fleets, and emergency power customers.
Under general supervision, provides administration and process support for all job transactions processed through the ERP system.
Essential Functions:
- Reviews and validates all contracts and supporting documents
- Issues purchase orders for service subcontractors and suppliers per project manager’s budget
- Manages outstanding purchase orders and ensure proper application to job cost
- Executes quote conversion to job
- Ensures all financial setup of job matches contract and is in accordance with company procedure
- Processes all project billing in ERP, complete required pay applications and any additional customer required billing forms
- Obtains COI’s, W-9” and bonds as needed
- Maintains ongoing intercompany, customer and/or contractor communications and coordinates logistics in various projects
- Answers customer inquiries associated with pay applications, lien waivers, certified payroll, etc.
- Attends and/or conducts weekly Ops Calls for intercompany coordination of projects
- Obtain and submit all required close-out docs/warranty letters and retainage applications to complete jobs.
- Assist with collections of job invoices
- Assist with audits as requested
- Other duties as assigned
Requirements
- Highschool Diploma or GED required
- Ability to learn JF Petroleum Group products, services, systems and procedures
- Excellent communication skills to convey information effectively, understand relevant points, and ask questions as appropriate
- Excellent attention to detail
- Ability to work well with customers, supervisors, and other employees by phone, email, or in person
- Ability to handle multiple projects, assignments and accounts
- Ability to communicate effectively in writing
- Must be able to meet company’s employment requirements, which includes passing a drug screen, criminal background check, and MVR, if driving for the company
- Physical Requirements: include occasional lifting/carrying of 10 pounds; visual acuity, speech and hearing; hand and eye coordination and manual dexterity necessary to operate a computer keyboard and basic office equipment. Subject to sitting, standing, reaching, walking, twisting, and kneeling to perform the essential functions. Working conditions are primarily inside an office environment. Prolonged periods sitting at a desk and working on a computer.
