What are the responsibilities and job description for the Behavioral Health Office Supervisor position at JFS Richmond?
JFS is currently seeking an Office Supervisor for our Counseling Department. The Office Supervisor will manage the business operations of JFS’ Counseling/Neuro programs; office processes, and software system. They will also provide support, guidance, and supervision to the Counseling Office Administrative staff; interacting with clients and staff in a manner that is sensitive to JFS’ service population’s cultural and socioeconomic characteristics.
Administrative:
- Interviews, hires, supervises, and evaluates all direct report positions. Provides specific, frequent feedback to improve performance on job skills; addresses individual performance problems timely; develops performance improvement plans for underperforming team members with input from Supervisor; celebrates individual and team successes.
- Responsible for front desk coverage, greet clients/patients, answer phones, assist clients/patients, schedule and verify appointments, and monitor office supplies and overall office appearance.
- Monitors clinical documentation daily and ensures completion per JFS policy. Notifies Clinical Services leadership of issues promptly to avoid delays in billing.
- Process, coordinate and schedule intakes.
- Collect and process co-pays as required by the insurance company.
- Verify and track insurance coverage, verify need for pre-authorization, and co-payment information for each client/patient upon initial intake, quarterly, and as needed.
- Develops and updates office procedures in accordance with JFS policy, COA standards, insurance requirements and general business office practices. Ensures compliance with HIPAA.
- Apply payments to client’s accounts each day and maintain reports.
Daily Record Management:
- Gather initial client/patient information, create NextStep record, ensure clients/patients receive and complete paperwork.
- Accurately maintain client files and database with appropriate documentation.
- Other duties as needed.
Qualifications
- Minimum requirement of a bachelor’s degree in business administration or accounting. In lieu of a bachelor’s degree, a minimum of eight years’ work experience in a medical office, preferably Counseling.
- Strong computer skills and proficiency in Microsoft Office
- Previous clerical and administrative experience in a medical/mental health practice. Bachelor's Degree
- Excellent customer service and phone etiquette
- Organizational skills with a focus on time management
- Experience with EHR system, data entry, filing, and calendar management
- Familiarity with multi-line phone systems and office management
