Responsibilities and Qualifications:
What are the responsibilities for the role?
- Receives and responds to phone calls and visitors and assists customers by answering questions, providing information or directing to appropriate staff members
- Data Entry, filing, and any other clerical duties
- Assists with processing all new, used, and dealer trade vehicles for registration in the state in which they will be titled
- Open & accurately record incoming titles daily according to established procedures
- Verify all documents are signed & completed properly
- Maintain a high level of customer confidentiality
- Process paperwork on a timely basis
- Work with the proper departments to locate any missing documentation
- Assist with administrative office tasks (filing, faxing, scanning, etc.)
- Take on new responsibilities as you become more comfortable in the position
- Prepare tax and title documents (i.e. luxury, and sales and lease tax)
- Assist in submitting all legal transfer work to the Department of Motor Vehicles and orders duplicate titles and special plates
- Assist in processing and registering all vehicle warranties and extended service contracts, maintaining a log of contracts processed and mailed
- Assist in completing all new, used, wholesale, and dealer trade car deals
- Assist with end of month closing
- Perform other duties as assigned or requested to assure optimum service levels
- Sitting, standing, and lifting up to 30 pounds
- Assisting in receiving and processing customer payments from Parts and Service Departments
- Assisting customers with questions and/or concerns
- Attend office meetings
- On-Site training will be provided
- Be able to create and maintain customer relationships
- Must be team oriented and work with a positive attitude in a team setting
What are the qualifications for the role?
- Minimum high school diploma or GED equivalent required
- Must be timely, reliable, and professional
- Excellent communication and customer service skills are a must
- Must be organized, reliable, and detail oriented
- Motivation to be successful, a self-starter, and ability to be a great team player
- Strong computer & phone skills
- Prior customer service or retail experiences a plus
- Understand deadlines and be able to apply the appropriate sense of urgency to all tasks
- Maintain professional appearance, superior work ethic, and neat work area at all times
- Self-motivated, goal oriented, and ability to work within a fast paced environment
- Current, valid driver’s license
- Strong computer & phone skills (Internet, MS Outlook, MS Word)
- Maintain professional business attire and appearance.
