Job Title: Daily Invoicing Specialist – Jim Hirt Trucking
Job Summary:
The Daily Invoicing Specialist is responsible for preparing and processing accurate and timely invoices for all freight orders hauled by Jim Hirt Trucking. This role ensures all order data is verified, entered correctly, and invoices are sent to customers in a consistent, organized manner. Coordination with dispatch, accounting, and customer service is essential for smooth operations.
Key Responsibilities:
- Review completed haul orders daily for accuracy and completeness.
- Generate invoices using QuickBooks based on load information.
- Verify rates, fuel surcharges, accessorial charges, and any customer-specific billing requirements.
- Ensure all necessary documentation (e.g., BOLs, PODs) is attached and stored properly.
- Communicate with dispatch and operations to resolve discrepancies.
- Submit invoices to customers via email, portals, or mail as required.
- Maintain invoicing logs and update internal records regularly.
- Support month-end closing processes and reporting as needed.
- Respond to customer inquiries related to billing in a timely manner.
Qualifications:
- High school diploma or equivalent; associate degree preferred.
- Prior experience in invoicing, billing, or administrative work (transportation industry a plus).
- Familiarity with trucking operations and freight documentation.
- Detail-oriented with strong organizational skills.
- Proficient in Microsoft Office (especially Excel) and invoicing software.
Work Schedule:
Monday – Friday, with daily invoice processing required by [insert cutoff time if needed]
Pay based on Qualifications
Job Type: Part-time
Pay: $17.00 - $25.00 per hour
Expected hours: 20 – 30 per week
