ABOUT THE POSITION
Summary
Jimerson Birr is seeking a highly organized and proactive Executive Assistant to provide critical support to our Managing Partner, Chief of Staff, and CEO. This role requires a detail-oriented professional who thrives in a fast-paced environment, excels at managing multiple priorities, and is committed to ensuring seamless operations for our leadership team.
Key Responsibilities
Executive Support & Calendar Management
- Manage complex calendars for the Managing Partner, Chief of Staff, and CEO, ensuring optimal scheduling and prioritization of commitments.
- Coordinate internal and external meetings, including agenda preparation, meeting materials, and follow-ups.
- Anticipate leadership availability needs, resolve scheduling conflicts, and ensure seamless time management.
- Serve as a liaison between leadership and internal/external stakeholders, maintaining a high level of professionalism and confidentiality.
Presentation & Report Development
- Assist in the creation of high-quality presentations, reports, and briefing materials for executive meetings.
- Aggregate and analyze data to provide leadership with accurate insights and strategic recommendations.
- Format and refine documents to align with the firm's brand and professional standards.
Project Management & Coordination
- Utilize Monday.com to track project updates, ensuring leadership has real-time insights into key initiatives.
- Compile and summarize data for strategic decision-making, providing leadership with relevant insights.
- Capture and document key ideas, initiatives, and directives from leadership into a centralized repository.
- Ensure clarity and accountability for firm-wide projects by organizing assigned initiatives and tracking progress.
- Generate and distribute a weekly report summarizing project status, progress updates, and outstanding action items.
- Send regular project updates and follow-ups to stakeholders to ensure progress and accountability.
Data Management & Aggregation
- Maintain accurate records and documentation in firm-wide systems.
- Aggregate and analyze key performance metrics to support leadership in making informed decisions.
- Organize and track relevant correspondence and documentation to ensure seamless operations.

WHO WOULD DO WELL IN THIS POSITION?
Required Skills & Qualifications:
- 4 years of experience as an Executive Assistant, Administrative Coordinator, or similar role supporting senior leadership.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and project management tools like Monday.com.
- Strong organizational skills with the ability to prioritize and multitask in a deadline-driven environment.
- Excellent written and verbal communication skills with high attention to detail.
- Ability to work independently and exercise discretion when handling sensitive information.
- Strong problem-solving skills and a proactive approach to anticipating leadership needs.
