Role Description

This is a full-time on-site role for an Office Admin located in Newark, NJ at JJ Martin Group, LLC. The Office Admin will be responsible for administrative assistance, customer service, and office administration tasks. They will handle communication with internal and external stakeholders, support accounting functions, and ensure smooth operations of the office.


Key Responsibilities


Office & Administrative Management:

  • Order Processing & Customer Support – Manage purchase orders, invoices, and customer inquiries, ensuring timely responses and smooth order fulfillment.
  • Ensure all purchase orders and ASNs are processed accurately through the EDI system, meeting retailer requirements to avoid chargebacks or rejections.
  • Oversee daily office operations to ensure efficiency and organization.
  • Manage vendor relationships.
  • Handle correspondence, scheduling, and general administrative tasks.
  • Assist in preparing reports, presentations, and internal documentation.
  • Assist in coordinating shipments, inventory tracking, and warehouse communications.
  • Work with vendors, clients, and internal teams to ensure smooth business operations.
  • Maintain organized records of company assets, files, and documentation.



Qualifications

  • QuickBooks experience
  • Administrative Assistance and Office Administration skills
  • Basic knowledge of Accounting
  • Attention to detail and organizational skills
  • Proficiency in Microsoft Office Suite
  • Ability to multitask and prioritize tasks
  • Experience in a similar role is a plus
