About the Opportunity - Event Coordinator

The Event Coordinator, reporting to the Head of Events, supports the day-to-day management and planning of events and projects of JJLA, including overseeing project management and coordination, and planning and production tasks associated with executing an event to the highest standards.

Responsibilities

  • Plan events from start to finish according to client and company requirements, target audience and overall event objectives, ensuring event is completed smoothly and being responsible for resolving any issues that arise
  • Create and design innovative and inspiring solutions and creative aspects of events, making suggestions to enhance the event’s success, including designing promotional activities
  • Participate in new business and pitch presentations for new clients and new events as requested and required, including collaborating and overseeing event design and presentation materials and pitches, including the creation of vibe boards, creative decks, creative briefs, renderings and illustrations
  • Manage client budgets, ensuring budget adherence and event and company profitability, source and negotiate with vendors and suppliers, and input all cost estimates and payment schedules accurately and ensure prompt and efficient delivery of invoices to client
  • Create and manage comprehensive event booking sheets, including tracking and coordinating event timelines, staffing, expenses and supplies
  • Coordinate details of event operations, participate in and oversee event permitting process, including insurance requirements
  • Manage client and account relationships during and in between events to ensure client retention and growth, maintain effective client communication, ensuring client is briefed on all aspects of the event, understands and approves all estimates, and has regularly scheduled meetings during and after the event
  • Maintain accurate and complete event, project and client files, organizing all event orders, budget tracking, vendor quotes, approvals and design concepts
  • Represents the company externally with poise and professionalism at events, meetings, conferences and as required by senior management
  • Participate in weekly team meetings, reporting on current projects, analyze the event successes and prepare post-event reports
  • Maintain social media presence of JJLA based on event projects and successes including gathering event photography and videography to be used for social and marketing purposes

Requirements

  • Proven experience as event coordinator preferably with big brand or corporate event experience preferred
  • Skilled in project management, client account management and budget management
  • Must be extremely detail oriented, on-time and accurate
  • Knowledge of KPIs, marketing and promotional techniques for event management
  • Proficient in MS Office, Adobe Creative Suite, Email, Asana, Google Workspace and web server account software
  • Ideally candidate is a whiz at utilizing Keynote and/or Google Slides to create creative and thoughtful decks
  • Computer savvy; proficient in MS Office and other event-related design software as required
  • Eagerness to learn, explore and develop new skills and broader understanding of event and client needs to strengthen company performance
  • Outstanding written and verbal communication skills; ability to make client presentations and maintain excellent email correspondence
  • Strong negotiation ability
  • Excellent organizational skills
  • A knack for problem-solving and reacting with efficiency and competence, even under strenuous circumstances or stressful situations
  • A creative eye with a knowledge of and interest in design, merchandising and lifestyle
  • A passion for and understanding of live entertainment, including music, film, television, sports, fashion, consumer products and digital media
  • Ability to identify and stay on top of new and emerging trends
  • Customer-service oriented
  • New business savvy with an ability to identify opportunities for client or job growth and help to source and pitch new opportunities for business development purposes
  • A team player with leadership skills, ability to empower others to get the job done
  • Strength and ability to work long and strenuous days, including ability to occasionally lift, carry and move items at 50 lbs. or more, and be up and on your feet for long hours at a time
  • BSc/BA in PR, marketing, hospitality management or related field is required
  • Minimum 3-5 years’ experience in event production, design, management or hospitality industries

Pay: $50,000.00 - $60,000.00 per year
