JLL has a great opportunity to join our Retail Property Management team at Ka Makana Ali'i.
We are looking for someone who is energetic and friendly with experience providing administrative support and customer service to clients and internal staff. Provides excellent customer service and builds relationships. Assists walk-in clients, schedules client appointments, answers phone lines, and helps clients with questions and issues.
WHAT YOU'LL BE DOING
Administrative Support
Maintain calendar and secure travel arrangements as directed.
Organize files as directed and maintain directory of stored files.
Provide administrative support to create, modify or finalize documents as directed
Send documents via mail, UPS or FedEx.
Book rooms as directed for meetings and trainings.
Submit food requests for meetings.
Order supplies and submit equipment requests.
Process expense reimbursement requests and allocate cost as directed.
Order supplies and submit equipment requests.
Process petty cash and expense reimbursement requests and allocate cost as directed.
Any and all other duties and tasks assigned
WHAT WE'RE LOOKING FOR
High School Diploma required, Associates Degree or higher preferred
1-2 years of experience in an administrative position
Knowledge of specific software programs, including Yardi, MRI, Outlook, Word & Excel.
Time management - ability to manage time well and be self-motivated without direct supervision.
Communication - Able to provide ongoing input to mall team through thoughtful and detailed information.
Ability to multi-task in a fast-paced environment, working within a team structure and independently.
Teamwork - Able to work in a team atmosphere, providing support to other departments as necessary.
Organization - Ability to maintain an organized workspace/office and have the skills necessary to keep an easily understood filing system.
Customer Service - Has the interpersonal skills to provide good service to customers, contractors, vendors, and clients. Has friendly and helpful attitude.
