What are the responsibilities and job description for the Assistant Property Manager position at JLL?
Essential Functions:
* Assists with administering all activities related to the physical aspect of the property, including operations, engineering, cleaning, security, life safety, repair, construction, parking and landscaping.
* Assists with management of the day-to-day fiscal activities of the property including on-site bookkeeping, operations analysis and budget management.
* Provides information and direct input in major fiscal activities, including business planning, budget preparation, financial reporting and owner relations.
* Assists in recruiting, training and evaluation of building office staff. Projects leadership qualities and motivates staff.
* Assists in developing and maintaining positive tenant relationships.
* Establish plans, implement practices, monitors equipment and executes life safety / emergency procedures.
* Supervise service contracts as assigned by Property Manager, such as janitorial/housekeeping, window washing, paint, security and fire safety. Conducts periodic meetings and ensures minutes are kept for monitoring / closing out issues.
* Implements all written company policies and ensures compliance by building staff.
* Oversees tenant retention programs, periodic blood drives, toy drives and choral programs.
* Maintains highest professional standards in appearance and dress.
* Monitors construction projects and capital improvements for compliance with building standards; performs routine inspections and attending scheduled progress meetings.
* Prepares bid specifications for major repairs and capital improvement projects.
* Prepares managerial, operational, and engineering reports.
* Collaborates with the Chief Engineer to develop preventative maintenance programs associated with work undertaken by members of engineering, plumbing and carpentry personnel.
* Performs routine / documented walkthroughs to ensure day-to-day tasks are being addressed by the janitorial, security and engineering services.
* Prepares, reviews and updates building operating policies and procedures.
* Directly oversees activities of the Associate Project Manager and provides support as needed. Monitors activities of building office staff.
* Oversee filing / storage systems; directs Administrative Assistant as needed.
* Reviews building standard rates for services provided to tenants, and makesrecommendations for adjustments on a periodic basis.
Endeavors to ensure the highest quality services are rendered to the owner and tenants keeping in mind the cost.
* Carries out other duties as assigned by the General Manager and Property Manager.
* Able to work on multiple projects

Requirements
Essential Physical Abilities
* Visually inspects building areas, including but not limited to: lobbies and public areas, loading dock, roof areas, tenant areas, central plant, stairwells, elevator machine rooms and parking garage.
* Walks up and down stairs for inspections and emergency procedural practice or implementation.
* Detects emergency alarms - auditory and/or visual.
Essential Knowledge and Skills
* Exchange ideas, information and opinions with others to formulate policies and programs and/or arrive jointly at decisions, conclusions, or solutions.
* Maintains calm demeanor in emergency situations.
* Applies principles of rational systems to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
* Interprets a variety of instructions furnished in written, oral, diagrammatic, or schedule form.
* Strong oral and written communication skills.
* Reads newspapers, periodicals, journals, manuals, financial reports, and legal documents.
* Computes discount, interest, profit and loss, commissions, escalation's, ratios and proportion, and percentage. Calculates surfaces, volumes, weights, and measures.
* Integrates analyses of data to discover facts and/or develop knowledge concepts or interpretations.
* Intermediate level with various computer applications such as Excel, Word, Access and Powerpoint for preparation of spreadsheets, correspondence and presentations.
Experience: Prefer a minimum of three years commercial property management or other related experience with profit and loss responsibility in a Class "A" office buildings.
