The Administrative Assistant position plays a key part in ensuring JLO Consulting’s successful end-to-end execution of education and training programs. The primary role will be to support the travel process from beginning to end. This includes ensuring that subcontracted consultants meet US government travel requirements and can book travel through a managed system (either online or with travel agents). This role will also review and process subcontractor invoices and travel expenses in adherence with federal security regulations to support the company’s billing. While this position will initially be focused on travel, there is room for growth in other areas of the company.
Location: Hybrid, with preferred residence in Monterey, CA at office location
Office Hours: Monday – Friday, 0900-1700 with flexibility and ability to work within foreign time zones when required.
Anticipated Salary 45,000 - 50,000 / year
Job Responsibilities
· Email, phone communication, and in-person communication with subcontracted consultants regarding coordination of logistics, travel, and administration, etc.
· Ensure subcontracted consultants meet U.S. government travel requirements to include training certifications. Provide guidance to subcontracted consultants in booking travel through JLO’s managed travel system
· Review subcontractor travel vouchers for compliance with reimbursement policies. Process approved travel expenses and invoices for payment.
· Ensure travel documentation is filed on company shared file system
· Assist Program Managers as required with email, phone communication, and in-person communication with clients and appropriate stakeholders regarding coordination of logistics, travel, and country clearance requests, etc.
· Manage relationships, accounts, and purchases with company vendors
· Assist in the submission of travel-related deliverables to Prime Contractors and US Government Technical Representatives as required.
· Multi-media support in development of soft-copy materials in printable format with assembly guide and replicating and producing hard-copy materials
· Ability to hold Secret Clearance
· Other duties as assigned
Qualifications
· Education level required is a Bachelor’s degree or four years of related employment experience
· Demonstrated excellent communication skills, verbal and written
· Demonstrated familiarity with MS Office (Outlook, Word, Excel, PowerPoint, Teams)
· Familiarity with Department of Defense’s Joint Travel Regulations is preferred but not required
