We are seeking an Onsite Administrator to serve as the primary point of contact for customers and the outside sales team, ensuring smooth operations and exceptional customer service. This role is critical in addressing customer inquiries, tracking job progress, and maintaining compliance with regulatory standards such as Quality, Safety, and ISO 17025.
Key Responsibilities:
- Customer Support & Coordination: Communicate with customers regarding their onsite projects, ensuring all job details are understood and executed accurately. Address inquiries and provide effective solutions to customer needs.
- Administrative Support: Perform general administrative duties, including answering emails and phone calls, word processing, and maintaining accurate documentation.
- Workload & Scheduling Management: Monitor job progress, assist in resolving issues, and coordinate work schedules for onsite technicians across multiple locations.
- Compliance & Quality Assurance: Ensure adherence to company policies, regulatory requirements, and industry standards.
- Collaboration & Communication: Work closely with various departments, including Metrology Engineers, Lab Managers, Quality Assurance, Logistics, and Sales, to facilitate seamless operations.
Qualifications & Skills:
- Education: High school diploma or equivalent required.
- Experience: 2-3 years of administrative experience; experience in a calibration or electrical lab is a plus.
- Technical Skills: Proficiency in general computer skills and office software.
- Organizational Abilities: Strong multitasking and time management skills to meet deadlines.
- Customer Service Mindset: Ability to assess customer needs and maintain strong client relationships.
- Attention to Detail: Strong documentation, data entry, and record-keeping skills.
- Regulatory Knowledge: Understanding of industry standards and compliance requirements.
Work Environment:
- Primarily office-based, with occasional movement between buildings.
- Exposure to varying temperatures and noise levels.
- Must be able to climb stairs and lift up to 50 lbs.
