Overview

The Workforce Information Systems Assistant supports the department's daily operations by managing administrative tasks, maintaining workforce data systems, and ensuring data accuracy. This role involves data entry, report generation, and assisting with system upgrades and compliance efforts related to data privacy and security. The position offers an opportunity to work in a collaborative, fast-paced environment with potential for growth.

Responsibilities

  • Perform data entry, electronic filing, auditing, and system maintenance on a regular basis.
  • Support the evaluation process by maintaining schedules, inputting data, and generating reports.
  • Monitor and respond to routine inquiries sent to the department's email distribution list.
  • Assist employees and administrative staff with system-related questions and troubleshooting.
  • Test new features, upgrades, and system integrations to ensure smooth implementation.
  • Maintain accurate documentation of system processes and updates.
  • Coordinate meetings, training sessions, and system demonstrations with stakeholders or vendors.
  • Ensure the accuracy and integrity of workforce data.
  • Handle general administrative tasks and participate in department projects as needed.

Qualifications

  • Bachelor's degree or equivalent experience.
  • Experience with HRIS platforms such as Workday, UKG, or ADP.
  • Law firm or professional services experience is a plus.
  • Minimum typing speed of 45 wpm.
  • Strong data entry skills with a high level of accuracy and attention to detail.
  • Proficiency in Excel, PowerPoint, Outlook, and Adobe Acrobat; experience with Smartsheet and Microsoft Teams is a plus.
  • Ability to handle confidential and sensitive information with a high degree of trustworthiness.
  • Strong problem-solving skills and the ability to work independently while knowing when to seek guidance.
  • Effective communication and collaboration skills for managing ongoing projects.
  • Strong organizational skills, ability to meet strict deadlines, and manage multiple priorities.
  • Exceptional client service skills, both internal and external.
  • Flexibility to work additional hours as needed.
