KEY RESPONSIBILITIES
- Manage incoming phone calls and emails, directing each communication professionally and courteously to the appropriate person or department.
- Generate and print work orders and manifests from the system as necessary.
- Arrange and verify services, making sure that each appointment is accurately documented and any scheduling conflicts are avoided.
- Dispatch drivers and service personnel to designated job sites, providing clear instructions and necessary information for each task.
- Create and update client accounts in the system, ensuring that all details, including service history and contact information, are accurate and up-to-date.
- Monitor and log the weighing of trucks on the scale, accurately recording the information in the system.
- Address and resolve client inquiries and concerns promptly, maintaining a high standard of customer service.
- Perform regular administrative duties, including data entry, filing, and maintaining the inventory of office supplies.
- Contribute to the overall success and growth of the company by supporting a positive work environment and team culture.
EDUCATION AND EXPERIENCE
- Strong communication skills in both English and Spanish
- High school diploma or equivalent; further education or certification in office administration or a related field is a plus.
- Minimum 1-2 years of experience in a receptionist, scheduler, or similar role.
- Excellent communication and customer service skills, with the ability to multitask and manage time effectively.
- Strong organizational and problem-solving skills, with attention to detail.
- Proficient in Microsoft Office Suite and general computer skills.
- Knowledge of the services provided by JN Grease is a plus but not required; training will be provided.
PHYSICAL REQUIREMENTS
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at a time.
