JND Mechanical, an HVAC contracting company, is looking for an enthusiastic, customer service focused individual to join our team. This person will work to support the company in answering and routing all incoming phone calls, managing inter-office IT and supply needs, managing asset upkeep and administration, while working as an assistant to the Accounting Admin satisfying accounts payable and receivable needs. This role has a schedule of Monday-Friday 8:00am-4:30pm (30 min break) with occasional changes based on need. (Schedule is potentially flexible upon interview discussions)

Responsibilities:

- Administrative Accounting Assistance - Work closely with Accounting and Operations assisting and gaining exposure to various needs as they may arise (training opportunities for further growth) Duties to include but not be limited to vendor invoice reconciliations, accounts payable reports, vendor release management, misc. accounting support
- Technology and DeviceManagement -Assist with preparing, monitoring, repairing, and troubleshooting both released devices and internal IT needs that may arise
- Administrative Fleet and Asset Support -From an administrative point manage and upkeep fleet of 20-30 vehicles for maintenance, repairs, insurances, etc. Regular audits of company assets both on site and released to the field
- Organize internal resources - Build out and maintain processes to keep files and office supplies organized and easily accessible
- Uphold policies and procedures - Ensure process is being followed and executed consistently
- General Office Administration - Manage and maintain general office needs (supplies, cleanings, general repairs and maintenance coordination)
- High school diploma
- 1-2 years experience as an administrative assistant, secretary or receptionist preferred
- 1-2 years experience in accounts payable, vendor reconciliations
- Strong organizational, communication, and time-management skills
- Proven ability to work in a fast-paced environment
- Positive, team orientated attitude
- Resourcefulness, creativity, and problem-solving skillset
- Familiarity with office equipment (i.e. printers, fax machines, projectors)
- Comfortability with technology as an internal resource for support and releasing of devices needed in the field (iphones, ipads, hotspots)
- Proficiency in Microsoft Office (especially MS Excel and PowerPoint)
- Familiarity with Quickbooks Desktop/accounting software
