Job Description :

The Bids & Proposals Coordinator will play a critical role in sourcing procurement opportunities and overseeing the preparation and submission of successful proposals. This role involves working with a cross-functional team to respond to Requests for Proposals (RFPs), Requests for Quotations (RFQs), and Requests for Information (RFIs). You will be responsible for managing the proposal development process to ensure proposals are delivered on time, meet compliance standards, and are compelling and well-written.

As a highly visible position within the company, this role requires close collaboration with various internal stakeholders, including Project Management, Business Development, Project Director, and Estimating teams. Strong writing skills, attention to detail, and the ability to generate creative ideas are essential. The ideal candidate will be a self-starter who can multitask, work under pressure, and follow through on all tasks.

Key Responsibilities :

Serve as the central point of contact for assigned proposals, leading the Bids & Proposals team through the entire proposal process.

Download necessary documents and create organized folders for estimators.

Analyze RFQs, RFPs, and RFIs to formulate proposal outlines and detailed development plans.

Collaborate closely with Estimating, Procurement, and Project Management teams to define "win strategies and themes" and ensure they are integrated throughout the proposal.

Facilitate brainstorming sessions and provide tactical advice to create solutions that result in successful, winning submissions.

Solicit management reviews and approvals during the proposal development process.

Track relevant procurement opportunities and manage the bid pipeline, circulating opportunities to appropriate stakeholders.

Conduct research and gather key materials to enhance customer insights and boost competitive advantage.

Maintain and improve a library of reusable templates, components, and processes to streamline future proposals and enhance bid quality.

Work with Project Directors to help set up submittals, prepare files, and ensure all required documentation is completed once a project is awarded.

Basic Qualifications :

Previous experience in an office environment, preferably in a proposal or project management role.

Proven ability to communicate effectively across teams and demonstrate strong leadership and project management skills.

Proficiency in Microsoft Office applications (Excel, Word, PowerPoint, etc.).

Experience with QuickBooks is a plus.

Strong writing, grammar, and spelling skills, with the ability to present information clearly and persuasively.

Ability to work in a deadline-driven, results-focused environment.
