We are a leading engineering consulting firm seeking a highly motivated, detail-oriented, and experienced Consulting Executive Assistant. This role plays a crucial part in ensuring the smooth operation of our executive team, providing high-level administrative support in a fast-paced, dynamic environment. The ideal candidate will have a strong background in administrative roles, exceptional organizational skills and the ability to manage multiple tasks simultaneously.
Responsibilities :
As a Consulting Executive Assistant, you will :
1. Manage and maintain executives' schedules, appointments, and travel arrangements.
2. Arrange and coordinate meetings and events.
3. Monitor, respond to, and distribute incoming communications.
4. Review and summarize miscellaneous reports and documents.
5. Prepare and edit correspondence, communications, presentations, and other documents.
6. File and retrieve documents and reference materials.
7. Conduct research, collect, and analyze data to prepare reports and documents.
8. Manage and maintain executives' schedules, appointments, and travel arrangements.
9. Arrange and co-ordinate meetings and events.
10. Record, transcribe, and distribute minutes of meetings.
11. Monitor, screen, respond to, and distribute incoming communications.
12. Review and summarize miscellaneous reports and documents.
13. Prepare and edit correspondence, communications, presentations, and other documents.
14. Liaise with internal staff at all levels.
15. Interact with external clients.
16. Co-ordinate project-based work.
17. Review operating practices and implement improvements where necessary.
Qualifications :
1. Must have a minimum of 5 years of experience as an Executive Assistant or similar role, preferably within the engineering industry.
2. Bachelor’s degree in a related field is preferred.
3. Exceptional organizational skills and the ability to prioritize multiple tasks seamlessly with excellent attention to detail.
4. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
5. Experience managing calendars and coordinating meetings.
6. Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response.
7. Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
8. Experience in dealing with legal matters and contract review is a plus.
9. Excellent interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
10. Strong written and verbal communication skills.
11. Demonstrated proactive approaches to problem-solving with strong decision-making capability.
