POSITION SUMMARY
The Estimating Coordinator is responsible for planning, directing, and coordinating daily construction management activities. This position works in conjunction with the Estimating Director and EVP of Operations to review Bid Opportunities, create a Bid Schedule, and update the Bid Calendar, including all relevant Bid deadlines and requirements.
ESTIMATING COORDINATOR ESSENTIAL DUTIES AND RESPONSIBILITIES:
Oversight and Development: Responsible for overseeing and developing the Estimating Assistant's role. Ensures timely completion of responsibilities and error-free results. Develops processes for the Estimating Assistant.
Bid Search and Qualification: Oversees the search for Bids and Qualifications through the County Website Posting and Bid Reporting Services. Assists as necessary. Ensures required bid documents for projects under consideration are downloaded and distributed. Assists as necessary.
Weekly Report and Meetings: Assists with preparing the weekly go/no-go report sent to Marketing, Business Development, and Estimating Director. Ensures necessary deliverable reports and meeting agendas for pre-qualifications and bids are prepared accurately prior to review by the Estimating Director and Estimator. Be well-versed in all documents and ready to discuss them at each meeting.
Project Setup and Communication: Ensures projects are set up properly in the system. Creates project folders, orders hard copies of bid documents, creates Bid Manager project pages, posts and prints addenda. Assists as necessary. Communicates with assigned Estimators and subcontractors regarding trade participation and points of contact. Ensures Internal Post-Bid process is completed.
Qualification and Bid Submission: Leads, prepares, and submits qualifications on owner forms. Assigns responsibilities and coordinates technical submission responsibilities with Operations. Submits Bid Forms and other required deliverables for Bid Opportunities. Coordinates with Operations regarding technical components of submissions. Performs research and information gathering for bids and qualifications. Reviews qualification and bid submission requirements for projects under consideration to aid in overall project evaluation. Prepares deliverable reports and meeting agendas for larger complex projects. Reviews responsibilities with assigned individuals in bid/qualification deliverable meetings as needed.
Bid Tracking and Follow-Up: Oversees electronic Bid Setup process for all selected Bid opportunities. Prepares and updates Bid Submission and pending Bid Tracking Logs. Completes initial draft of Project Information Sheets upon Award. Updates Work-In-Progress and Completed Project lists at appropriate intervals. Follows-up on Bid Submissions with respective Owners or Owner's Reps. Prepares and/or resolves MBE document preparation and submission process. Resolves AIA contract development and finalization for small or private pre-construction projects. Assists in reviewing all contracts for accuracy and ensuring final execution.
Incidental Duties: Coordinates with Estimating Director to assign Estimators, Pre-bid Attendees, and Bid Runners for specific projects. Assists with developing processes for the Estimating department. Works cohesively with Estimators to complete and ensure fulfillment of all requirements of Bid Submissions. Provides administrative support as needed. Assists Estimators with Post-Bid / Pre-Award Project deliverables required per the Bid Documents. ESTIMATING COORDINATOR BENEFITS:
