Volunteer Resources Coordinator
- Shift Timing: Monday - Friday 9 AM - 5 PM
- Expected length: end of 2025, Possibility of permanent placement

Skills/Experience:
- Minimum of 2 years of experience in volunteer coordination or program management.
- Technological skills: experience with Human Resources onboarding technology such as iCIMS and Workday or the ability to quickly learn new technologies.
- Ability to juggle multiple projects and various deadlines at once.
- Excellent organizational and time management skills.
- Strong interpersonal and communication skills as they will communicate with interested applicants, new volunteers, tenured volunteers, and Client staff.
Summary: The Volunteer Coordinator is responsible for developing, coordinating, and evaluating the in-service volunteer program by serving as the primary staff liaison to over 15 departments throughout the institution. This role also includes planning and implementing key administrative functions to ensure the success of the Volunteer Services Department.
Key Responsibilities:
1. Volunteer Onboarding & Selection (40%)
Oversee the onboarding of new volunteers from start to finish (application review to
hire)
- Conduct virtual interviews for open volunteer assignments
- Monitor status of the application in the applicant tracking system
- Review reference check, and volunteer agreement, facilitate and monitor background check, drug screen (if applicable), and medical clearance.
- Determine placement outcomes and communicate next steps in the onboarding process with applicants and staff.
- Facilitate MSK ID badge creation with Security (if applicable)
- Lead virtual orientation for new volunteers provide first day instructions for all new vol
- unteers
2. Volunteer Administration (40%)
- Manage volunteer assignment requisitions posted externally.Work with the Volunteer Services Manager to review and create new volunteer
- assignments based on departmental requests.
- Serve as the liaison between volunteers and requesting departments.
- Facilitate short-term ad hoc volunteer assistance requests by gathering detailed information from requesting departments and scheduling volunteer support as needed. annually and upon hire, annual flu vaccination, annual Employee Health Assessments, orientation/consent documentation upon hire, etc. program, expectations, and onboarding requirements.
- Oversee the compliance of volunteers, including Required Regulatory training
- Communicate with interested applicants by providing information on the volunteer
- Update orientation materials annually or as needed.
- Monitor openings in volunteer assignment schedules and fill in a timely manner.
3. Program Coordination (10%)
- Collaborate with the Manager to execute departmental programs and events.
- Assist in planning the Volunteer Recognition Ceremony, including:
- Generate invitation and event content.
- Collaborate with Graphics for posters, photography, etc.
- Order award pins and volunteer gifts.
- Monitor RSVPs.
4. Hospital Awareness (10%)
Stay informed about Center-wide activities that may impact volunteer productivity,
such as:
- Construction projects.
- Departmental operational changes.
- Staffing updates.
- Read relevant Center publications and communicate pertinent updates.
- Monitor and convey policy changes (e.g., HIPAA requirements and masking policies)
- affecting volunteer services.
Qualifications:
- Bachelor’s degree in Human Services, Nonprofit Management, or related field
- preferred.
- Minimum of 2 years of experience in volunteer coordination or program management.
- Strong interpersonal and communication skills.
- Ability to assess volunteer skills and match them with departmental needs.
- Proficiency in Microsoft Office Suite and scheduling tools.
- Previous volunteer experience is a plus.
