Job Details

We are seeking a detail-oriented and experienced Accounts Payable Specialist to join our dynamic property management team.

This role is integral to the financial operations of the company, ensuring timely and accurate processing of invoices, payments, and financial records related to our residential and commercial properties.

The ideal candidate will have a strong background in accounts payable, exceptional organizational skills, and the ability to thrive in a fast-paced, collaborative environment.

Key Responsibilities

• Invoice Processing Review, verify, and process a high volume of invoices, ensuring accuracy and compliance with company policies and procedures.
• Vendor Management Maintain vendor files, resolve discrepancies, and build strong relationships to ensure seamless communication and timely payments.
• Payment Execution Prepare and process payments, including checks, ACH transfers, and credit card transactions, ensuring timely disbursement of funds.
• Reconciliation Reconcile accounts payable transactions and resolve any discrepancies to maintain accurate financial records.
• Expense Tracking Monitor and code expenses to appropriate accounts and properties, ensuring alignment with budgets and company guidelines.
• Auditing and Reporting Assist with month-end and year-end closing processes, including preparing AP-related reports and supporting documentation for audits.
• Systems and Processes Utilize property management and accounting software to manage accounts payable tasks efficiently. Identify and suggest improvements for AP processes.
• Compliance Ensure adherence to relevant financial regulations and company policies.
  
  

Qualifications

• Education Associate’s or Bachelor’s degree in Accounting, Finance, or a related field.
• Experience Minimum of 3 years of accounts payable experience, preferably in property management or a similar industry.
• Proficiency in accounting software (e.g., Yardi, AppFolio, QuickBooks) and Microsoft Office Suite, particularly Excel.
• Familiarity with property management operations is a plus.
• Communication Skills Strong verbal and written communication skills to interact effectively with vendors, team members, and stakeholders.
• Attention to Detail Demonstrated ability to manage multiple priorities while maintaining accuracy and meeting deadlines.
• Problem-Solving Skills Proactive approach to identifying and resolving discrepancies or inefficiencies.
