We are seeking an experienced and highly organized Office Manager to oversee the daily operations of a dynamic law firm. This role requires a proactive leader who can manage administrative staff, support attorneys, and ensure the firm operates efficiently and professionally. The ideal candidate will be detail-oriented, adaptable, and capable of fostering a collaborative and productive work environment.
Key Responsibilities
- Oversee all aspects of office management, including workflow processes, scheduling, correspondence, file management, supply inventory, and office equipment maintenance.
- Provide comprehensive administrative support to attorneys, paralegals, and support staff, including coordinating meetings, maintaining calendars, and assisting with client communications.
- Supervise and support administrative staff, including paralegals, assistants, and non-attorney sales personnel, promoting teamwork and professional development.
- Handle client communications, including preparing and sending retainer agreements, engagement letters, letters of declination, and collecting client payments.
- Coordinate communication with courts, opposing counsel, and external vendors or service providers; prepare and file legal documents in relevant courthouses.
- Monitor and manage accounts payable and receivable, including billing, invoicing, and tracking client payments.
- Develop and implement office policies, systems, and procedures to improve efficiency, productivity, and compliance with regulations.
- Organize and coordinate firm events, including internal meetings, conferences, and team-building activities.
- Assist in onboarding and training new employees; support staff development through internal training programs.
- Maintain accurate records and ensure confidentiality and compliance with firm policies and legal standards.
- Collaborate with senior management to support firm-wide initiatives and provide cross-departmental administrative assistance as needed.
- Must have proven experience in office management within a law firm
- Strong leadership, multitasking, and task management skills with the ability to prioritize and adapt in a fast-paced setting.
- Excellent written and verbal communication skills, with a professional and client-focused demeanor.
- Proficiency in legal office systems, billing software, and general office technology.
- High level of accountability, attention to detail, and a positive, team-oriented attitude.
