Job Overview: We are seeking an Executive Administrative & Personal Assistant to provide high-level administrative support, ensuring seamless coordination, organization, and execution of critical tasks. This role requires exceptional professionalism, discretion, and organizational skills to handle high-profile clients, confidential communications, and complex scheduling. The ideal candidate will have 4 years of experience in an executive or legal administrative role and be highly skilled in calendar management, document preparation, travel coordination, and high-level communication. Key Responsibilities:  Executive & Administrative Support
  • Maintain a consistent physical presence to foster a collaborative environment and support key initiatives.
  • Act as the primary point of contact for high-profile and confidential clients, ensuring professional communication.
  • Manage, monitor, and prioritize emails and multiple priorities for the executive.
Scheduling & Travel Coordination
  • Oversee complex calendars and heavy scheduling, ensuring efficient time management.
  • Arrange global travel logistics, including flights, accommodations, and itinerary planning.
Document & Correspondence Management
  • Draft, review, and edit important documents, reports, and correspondence.
  • Maintain and manage both physical and electronic files to ensure easy access and organization.
Collaboration & Project Coordination
  • Work closely with other executive assistants and firm resources to coordinate administrative tasks and projects.
  • Support attorneys and senior executives in managing their practice, ensuring high service levels for clients.
Operational & Financial Administration
  • Handle expense processing, timekeeping, and legal billing tasks while adhering to jurisdictional procedures.
  • Ensure all administrative functions and client-related tasks are completed efficiently and accurately.
Ad Hoc Projects & Flexibility
  • Assist with special projects, presentations, and firm initiatives as needed.
  • Work overtime or outside regular hours when required.
Skills & Proficiencies:  Advanced Organizational & Coordination Skills - Ability to manage multiple priorities and meet strict deadlines.High-Level Communication - Strong written and oral skills, ensuring clear and professional interactions.Technical Expertise - Proficiency in MS Word, Outlook, Excel, PowerPoint, and document management applications.Legal & Business Acumen - Experience with timekeeping, expense processing, legal billing, and jurisdictional procedures.Detail-Oriented & Discreet - Ability to handle sensitive information with the utmost confidentiality.Collaborative & Self-Motivated - Works independently while fostering teamwork and efficiency. Qualifications:  Bachelor’s degree preferred.Minimum of 4 years of executive-level or administrative experience (Required).
