About the Role: We are seeking a proactive, highly organized, and experienced Executive Assistant to provide top-tier administrative support to our Managing Directors and leadership team. This individual will play a key role in ensuring seamless office operations by managing calendars, coordinating travel, and supporting internal communications. The ideal candidate is a detail-oriented problem-solver with excellent communication skills and the ability to manage competing priorities in a dynamic, fast-paced environment. Key Responsibilities: Executive & Communication Support:
- Provide comprehensive phone coverage for Managing Directors, handling sensitive and confidential calls with discretion.
- Track executive whereabouts and deliver accurate messages promptly.
- Act as a liaison between executives and internal/external stakeholders.
- Manage complex calendars, including scheduling internal and external meetings, events, and conference calls.
- Ensure all meeting logistics are handled efficiently and that participants are well-prepared.
- Coordinate detailed travel itineraries, including accommodations and transportation.
- Prepare and submit expense reports in a timely and accurate manner.
- Serve as a point of contact across departments to facilitate timely information exchange and task completion.
- Provide backup administrative support during staff absences (vacations, sick days, etc.).
- Maintain shared communication tools such as mailing groups and distribution lists.
- Ensure the executive workspace and broader office environment are organized and fully functional.
- Support ad hoc projects and general office management as needed.
- Bachelor's degree required.
- 3 years of experience in an executive or administrative assistant role, preferably supporting senior leadership.
- Exceptional organizational, time management, and multitasking abilities.
- Strong verbal and written communication skills.
- Ability to exercise sound judgment, discretion, and professionalism.
- A collaborative team player with a proactive, can-do attitude.
- Proficient in Microsoft Office Suite (especially Outlook, Excel, and Word).
- Familiarity with Concur or similar expense management systems is a plus.
