Overview
Assistant Business Manager primary responsibility is to manage the agency s finances in accordance with the organization's established Policy and Procedures thru effective leadership, oversite and direct action of the agency's financial functions and controls. In addition, this position will continually evaluate the agency operational efficiencies and effectiveness in collaboration with the Executive Director implementing action plans as appropriate. The Assistant

Business Manager will be responsible for data entry of accounts payable, receivables, payroll, and managing some HR functions which would include responding to Federal, State, City and employee requests for information and ensuring that the agency adheres to all Federal and State enacted abor and Wage Laws.

Duties

  • Capable identifying opportunities for business development
  • Conduct regular assessments of business processes to identify areas for improvement.
  • Monitor profit and loss statements to provide insights on financial performance.
  • Foster a positive work environment through effective leadership and communication.

Skills

  • Oversee the management of the agency's financial accounting system, information processing and quality controls; Identifying gaps and implementing and/or recommending specific actions to increase quality and efficiency according to agency established procedures and processes.
  • Prepare and manage the agency`s Board approved yearly budget in coordination with the Executive Director and Board Treasurer
  • Manage the processing of the bi-weekly payroll with required inputs/outputs using the ADP payroll system to include reconciling each payroll prior to transmittal; validating paid time off, accurate time-sheet completion, check receipt and distribution; processing manual payroll checks when needed
  • Compile and enter payroll data such as new hires, rate changes, garnishments, loan deductions, loan payments, vacation and sick time benefits, direct deposits, resignations and terminations and ensure all back-up forms have been accurately completed
  • Research and resolve outside agency requests for employee information and/or wages such as unemployment and workman's compensation claims, housing wage validation and social security as well as responding to and resolving all employee pay and benefit questions, request and issues
  • Manage and input on a daily, weekly and monthly basis the accurate processing of agency receivables and payables utilizing QuickBooks; producing reports when needed
  • Prepare, document, ready for signature and disbursement of checks for all agency expenses
  • Daily monitoring of Agency's bank accounts for quick identification and resolution of any presented anomalies
  • Oversee/complete monthly bank reconciliations
  • Download all agency banking transactions weekly/monthly into QB Banking Center and direct transactions to the appropriate QB accounts
  • Manage the agency's weekly/as needed bank deposit process according to established policy and procedures with real time verification
  • Manage timelines for agency yearly outside financial report filings, apprising the Board of due dates
  • Board Identification of appropriate outside vendor for completion of such filings (990 tax form, Audit,
  • Accountant)
  • Issue year-end 1099s to all appropriate contractors

Job Type: Part-time

Pay: $27.00 - $30.00 per hour

Expected hours: 24 per week

Schedule:

  • 8 hour shift
