Position Summary
The Customs Coordinator is responsible for ensuring the smooth and compliant clearance of imported and exported goods by managing all necessary customs documentation, communicating with customs authorities, and coordinating with logistics providers to facilitate timely shipment movement while adhering to all relevant trade regulations and laws. This role serves as a central point of contact for all customs-related activities within the company and supports compliance efforts to minimize risk.
Essential Duties and Responsibilities
- Documentation Preparation: Prepare and submit accurate customs declarations, including Harmonized Tariff Schedule (HTS) classifications, values, and country of origin information for import and export shipments.
- Compliance Management: Stay updated on current customs regulations and ensure company adherence to trade agreements and compliance requirements.
- Customs Brokerage Liaison: Work closely with customs brokers to facilitate customs clearance, address issues, and negotiate duty rates.
- Shipment Tracking: Monitor the movement of shipments through customs, identify potential delays, and communicate updates to relevant stakeholders.
- Data Entry & Recordkeeping: Maintain detailed records of customs transactions, including invoices, shipping documents, and customs clearance details.
- Issue Resolution: Investigate and resolve customs-related discrepancies, such as incorrect classifications, duty discrepancies, and compliance concerns.
- Stakeholder Communication: Collaborate with internal teams (sales, logistics, and finance) and external partners (suppliers, freight forwarders, and customs authorities) to ensure seamless processes.
- Audit Preparation: Assist with customs audits by providing necessary documentation and explaining customs compliance practices.
- General Compliance Oversight: Monitor reports to ensure compliance with U.S. Customs regulations and timely service for customers.
- Duties & Taxes Management: Authorize Automated Clearing House (ACH) duty payments, identify and resolve discrepancies in customs billing, and generate necessary accounting information.
- Entry Verification: Verify the correctness of customs entries and government submissions to ensure compliance.
- Government Entry Monitoring: Track government entries (DCASR) to ensure duty-free certificates are received and work with importers to resolve denials.
Minimum Qualifications
Education: High school diploma required. A bachelor’s degree in related fields is preferred but not required.
Experience: 1 to 3 years of experience filing customs entries.
Certifications: Must hold a Certified Customs Specialist Certification (CCS). Customs Broker License is preferred.
Skills
- Strong ability to read and interpret documents, contracts, and regulations.
- Proficiency in written communication for reports, forms, and correspondence.
- Familiarity with customs clearance software and systems.
- Excellent reasoning ability to apply instructions and resolve logistical challenges efficiently.
- Strong understanding of international trade regulations, U.S. Customs procedures, and HTS classifications.
- Proficiency in computer applications, including Google Workspace, Microsoft Office, spreadsheets, and tracking software.
- Ability to manage multiple shipments, monitor deadlines, and work accurately under pressure.

- Salary Range: $48,000 to $65,000 annually (depending on skills and experience)
