Position Overview
The Finance and Operations Manager is a leadership role that combines financial management, procurement expertise, and operational coordination. This position oversees financial planning and analysis, procurement activities, and efficient project and branch operations. A critical part of the role includes establishing and developing a new US-based branch office of our group company Passavant-Geiger, headquartered in Germany, while aligning operations with organizational goals.
Key Responsibilities
Financial Management
- Develop, monitor, and update annual budgets and forecasts.
- Conduct financial analysis to support decision-making and strategic planning.
- Prepare detailed financial reports (monthly, quarterly, annual) and manage cost analyses.
- Track project expenditures and ensure compliance with financial guidelines.
- Oversee invoicing, billing, and payment processes for project-related expenses.
- Ensure accurate and timely recording of financial transactions and compliance with regulations.
Procurement & Commercial Project Operations
- Manage procurement activities for projects, including sourcing, negotiating, and evaluating suppliers.
- Oversee vendor and contract management to ensure cost-effectiveness and quality standards.
- Provide accurate cost inputs for pricing and tender preparation.
- Ensure timely delivery of goods and services to meet project deadlines.
Branch Development & Operations
- Plan and execute activities related to setting up a new branch office, including securing office space, furnishings, and equipment.
- Manage vendor contracts for facility services such as IT, utilities, and other operational needs.
- Oversee regulatory and compliance requirements for branch registration and permits.
- Establish workflows and processes for new branch operations.
- Coordinate with internal teams to integrate operational infrastructure.
Team Leadership & Collaboration
- Supervise, mentor, and develop team members in finance and procurement.
- Collaborate with senior leadership to implement financial strategies and optimize operations.
- Coordinate with external auditors, banks, and financial institutions.
Future Development
- The selected candidate is expected to assume the future Chief Financial Officer (CFO) role for the new branch office/entity as the organization grows.
Qualifications & Skills
- Bachelor’s degree in Finance, Accounting, Supply Chain Management, or a related field (Master’s degree or MBA preferred).
- Proven experience in financial management, procurement, and project operations (5-7 years, with at least 2 years in a managerial role).
- Strong analytical, organizational, and negotiation skills.
- Proficiency in financial software (e.g., SAP, QuickBooks) and advanced Microsoft Excel skills.
- Effective communication and leadership abilities.
- Certifications such as CPA, CFA, PMP, or CIPS are preferred.
- Familiarity with local regulatory requirements and compliance for office establishment is a plus.
