Contract Administrator
The Contract Administrator (CA) has the responsibility to provide Contract and
administrative support the Project Manger throughout the life of a job. This can include,
but is not limited to, creating new jobs in Spectrum, transfer of information from the
Project Guide to Spectrum, setting up new jobs on the “J” drive, managing Drop Box, creating
applicable files as requested by the PM, generate contracts following proper buyout procedures, verify
subcontractor qualification statements and Certificates of Insurance, entering and
submitting submittals as required, entering RFIs in Spectrum, and assembly and
distribution of O&M manuals as required. The CA reports to the Contracts Manager
and will work on a daily basis to prioritize work in direct support of the Estimation
process. The focus of this position is on producing high quality, detailed work on a daily
basis while working within an environment of well-defined processes and procedures.
The CA must be comfortable with repetitious work that requires constant attention to
detail.
Job knowledge and competency will be built through structured step-by-step training as
well as adhering to a well documented processes and procedures. While communication
and collaboration with others is necessary to be successful in this position, much of the
work is accomplished working as an individual. This position must be able to
communicate not only with those within the company, but will communicate daily with
suppliers outside of the company. The CA will work closely with PMs to ensure that
submittal and acceptance notifications are on schedule per the Spectrum submittal log to
ensure that material and services will be available per the documented production
schedule. The CA will create supplier contracts (Purchase Orders, Material Contracts,
and Sub-Contractor Contracts) at the direction of the Contracts Manager, and will be
responsible for ensuring all T&Cs as well as insurance and certification standards are in
place prior to the supplier starting any work.
Consistent, error free work based on defined processes are key measures of job
performance success. This work is consistently time sensitive and on-time delivery of
required information is critical. The job environment promotes steady, methodical work
output so that job routines can be completed on time and error free.
