POSITION: Administrative Assistant
LOCATION: Simpson Building
SALARY: Grade 64 ($2820/month)
TERM OF EMPLOYMENT: 12 Months

REPORTS TO: Area Assistant Superintendents (High, Middle, Elementary) and Facility Design and Construction
Department
QUALIFICATIONS AND ATTRIBUTES:
- High school diploma or GED from regionally or nationally accredited institutions.
- Minimum of 3 years related experience.
- Associate’s degree in related area preferred.
- Experience in office management is preferred.
- Proficient in technology skills using Google and Microsoft Office, specifically spreadsheets and word processing.
- Ability to communicate effectively orally and in writing.
DUTIES AND RESPONSIBILITIES:
- Provide administrative support for Area Assistant Superintendents and the Facility Design and Construction Team
- Work closely with central staff, principals, and their schools as needed.
- Communicate effectively on the telephone and in person with parents who have concerns regarding their students
- Communicate effectively on telephone and in person with members of senior staff.
- Process leave, travel reimbursement requests, and mileage requests for assigned staff.
- Gather and process agenda items for monthly Board meetings.
- Gather and process agenda items, policies, and other information for weekly cabinet meetings,gather and process agenda items, policies, and other information for monthly Grade Alike meetings
- Gather and process agenda items, policies, and other information for Assistant Principal Institute,gather and process agenda items, policies, and other information for New Principal Onboarding and monthly meetings
- Gather and process agenda items, policies, and other information for Principal Professional Development
- Gather and manage assigned staff's P- card transactions.
- Advertise solicitations for bid including, tracking questions, vendor outreach, issuing addendums, and managing the execution of contracts for Design or Construction Services.
- Enters purchase orders, budget transfer requests, processes requisitions, and submits invoices into Finance software.
- Assists with the management and monitoring of budgets for applicable departments.
- Perform other duties and accept responsibilities as assigned.
- The employee’s final job duties are subject to change at any time due to the discretion of the supervisors.
PHYSICAL REQUIREMENTS:
- Must be able to physically perform the basic life operational functions of fingering, grasping, kneeling, sitting, walking, stooping, reaching, lifting, pushing, pulling, talking, seeing, hearing, and repetitive motion.
- Must be able to use a variety of automated office equipment such as computers, copiers, etc.
