Title: Marketing & Brokerage Coordinator
Roles and Responsibilities:
Customer Service:
- Handle client inquiries promptly and professionally, ensuring excellent customer service
- Maintain strong relationships with clients, ensuring their needs are met and expectations are exceeded
- Respond to feedback and address client concerns efficiently, and implement solutions to enhance satisfaction
- Maintain relationships with vendors, update the Recommended Vendor List as needed, and ensure quality service delivery
- Become well-versed in all property listings and property management properties to facilitate accurate information transfer
- Maintain organized records of client interactions and vendor updates
Administrative and Brokerage Support:
- Provide administrative support to brokers in preparing marketing materials
- Coordinate the production of marketing materials (Flyers, Aerials, Tour Books, etc)
- Ensure that listings are updated on listing platforms (CoStar, Crexi, etc.)
- Maintain and update the Quick Listing Guide to track listings, pricing, available suites, etc
- Monitor and update the weekly municipal calendar, staying informed on city meetings, regulatory changes, and new developments
- Work directly with the Chief of Staff to prepare projects and marketing materials
Branding and Signage:
- Coordinate all property signage, ensuring timely production and installation
- Update and manage a signage spreadsheet to track orders, costs, installation dates, and lead times
- Work closely with sign vendors to confirm specs, materials, proofs, and delivery timelines
- Research and collaborate with vendors to find high-quality, cost-effective signage solutions
