Jones Edmunds is seeking an Executive Assistant to join our Alachua office. The Executive Assistant performs administrative duties for one or more senior executives. This position schedules and coordinates appointments, meetings, conferences, and travel. This position organizes and expedites flow of work through a manager’s office and prepares routine and non-routine special reports including gathering and summarizing data. The Executive Assistant establishes and maintains highly confidential files and composes and types correspondence. This individual possesses a thorough understanding of the manager’s job and methods of work, procedures, and staff at all levels of the organization.
ESSENTIAL JOB FUNCTIONS:
- Manage senior executive(s) calendar.
- Efficiently and accurately write and review documents and coordinate distribution.
- Generate reports.
- Route, maintain, file, and archive documents.
- Make travel arrangements and arrange meetings.
- Serve as a liaison between executive(s), staff, and visitors.
- Meet deadlines.
- Maintain confidentiality of critical information.
- Act as a resource and champion for Company policies and procedures.
- Assist with or coordinate company events.
- Drive to stores to purchase supplies and run errands as needed
- May manage administrative and support staff.
- May oversee facilities management.
EDUCATION AND EXPERIENCE:
- Education: HS diploma, Associates Degree preferred
- Registration: None
- Certification: None
- Experience: 10 years of progressive administrative or related experience, including 3 years of experience reporting to executives
- Other: Valid Driver’s License with an acceptable MVR
