The Pilot car Coordinator arranges for pilot cars to escort oversize loads on designated quotes. The pilot car coordinator will send out and verify rate sheets for the third-party vendors and see that they are paid per their contracted rates. The coordinator will then manage and maintain a fleet of 10 company pilot vehicles including all related paperwork.
Responsibilities:
- Book pilot car movements
- Negotiate rates and secure third-party contractors to perform services
- Respond to customer requests for services
- Create and verify rate sheets for third-party contractors
- Maintain reports, track information, safety, and service failures as necessary for the department
- Apply knowledge of tractor/trailer requirements for pilot car projects
- Support company policies and procedures and hold the contractors accountable for their actions
- Maintain a fleet of 10 company pilot trucks
- Supervise and maintain 10 company pilot car operators
- Position may require work responsibilities outside of normal business hours and infrequent travel may be required
- Performs other duties and responsibilities as assigned
Education and Experience:
- Higher education (i.e., two- or four-year degree) in a related area and /or two to three years of training in a related area and/or equivalent experience in a customer driven environment.
- Excellent understanding of business-to-business marketing, sales, and customer service strategies
- Problem solving skills
- One to two years of transportation or related field experience
- Strong computer proficiency with Microsoft and Adobe
- Excellent time management and organizational skills
- Ability to manage difficult customer situations; responds promptly to customer needs and meet commitments
- Excellent communication skills to accurately interpret information and gain clarification in a professional manner
- Ability to adapt to an ever changing work environment
- Ability to work as a team member in a professional manner with others; provide and receive feedback to build a positive team spirit
- Ability to have high influential negotiation skills to quote rates and services needed
- Ability to perform mathematical equations of adding and subtracting
- Ability to work after hours/flexible shift or be on-call to handle customer situations intermittently
