Our company is seeking a Full-time Office Manager to work with the company Vice President and Salesperson. We are looking for an individual who is personable, organized, comfortable being a member of a team, as well as working autonomously and quick on their feet. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.
Responsibilities and Duties
Manage workflow by assigning tasks to other employees daily, ensuring that deadlines are met, and work is completed correctly
Generate memos, emails and reports when appropriate
Assume responsibility for maintenance of office equipment, including computers, copy machines and fax machines
Maintain office supplies by checking inventory and order items
Respond to questions and requests for information
Answer incoming calls and emails and assume other customer service duties when needed.
Contact customers and county zoning departments as needed.
Acquire permits for installations.
Order equipment, parts and supplies for customers and install team.
Maintain schedules for installs, sales and service teams.
General accounting and monthly inventory counts.
Administrative Assistant skills
- Proficiency in MS Office with expertise in Microsoft Word, outlook Calander scheduling, Excel, Critical thinking, and QuickBooks Knowledge.
- Ability to analyze and revise operating practices to improve efficiency
- Candidate should be organized, reliable, and efficient. Ideal professional should demonstrate great attention to detail, and proactive in anticipating the needs of Manager.
- Exceptional communication skills
- Superior organization skills and dedication to completing projects in a timely manner
Qualifications: High School diploma is required, College education preferred but not required. Ideal candidate must be able to demonstrate experience with multi-tasking, time management, communication, computer proficiency, and client and employee relations. Candidate must have valid driver’s license, transportation, and vehicle insurance. Job responsibilities may change due to meet the needs of the business.
