Job Description
Joyful Living, LLC with Dr. Matthew S. Dykema DO. is looking for a qualified medical office manager to run our medical facility. You will be responsible for day-to-day operation, budgeting and maintaining medical and staff records. As a medical office manager, you should demonstrate excellent organizational skills and the ability to perform well in stressful situations. Our position requires knowledge of healthcare systems operations. Ultimately, you should be able to ensure steady workflows and uninterrupted service in our medical facility.
Responsibilities
- Monitor budget and billing payments
- Order medical and office supplies
- Develop and implement office policies and procedures
- Supervise office staff, including receptionists, administrative assistants in all positions
- Maintain medical and staff records
- Liaise with doctors and nurses to identify potential office dysfunctions
- Arrange cleaning staff and emergency maintenance services as necessary
- Provide informative material for patients
- Generate inventory records
- Ensure compliance with current healthcare regulations, medical laws and high ethical standards
- Works with the facility Practice Manager, Provider, and Staff, to ensure proper planning, implementation and adherence of administrative and clinical and policies, procedures, and compliance with all applicable regulations and statues that govern the operations of medical practices.
- Initiates, coordinates, and/or participates in departmental problem resolution, coordination of patient care, and management of special patient populations.
- Ensures the monitoring and maintenance of medical records or protected health information (PHI) according to HIPAA regulations.
- Complies with all legal requirements and company policies.
- Identifies and investigates patient clinical care complaints, provider complaints, and clinical staff complaints. Recommends and implements initiatives to resolve such issues and follows up with appropriate individuals to ensure that such issues have been satisfactorily resolved.
- Maintains work environment that provides maximum safety and health and encourages safety awareness among employees. Reports unsafe conditions and injuries/illnesses and incidents in a timely manner and ensures that employees perform duties using safe work techniques in accordance with OSHA safety and health rules and sanitation standards
- Responsible for purchase requests needed for clinical operations while ensuring sufficient supplies of needed items are available to minimize disruption to the operation of the clinic.
- Assesses the need for new capital equipment or renovations through communication with physician, Practice Manager, vendors, and staff. Initiates the evaluation and subsequent purchase of capital equipment. Creates inventory logs for all Practice Equipment. Identify shortages. Facilitates the introduction of purchased equipment to appropriate staff and coordinates training to ensure proper operation and maintenance of the equipment, keeping patient safety and quality of care as our utmost priority.
- Provides overall supervision of clinical office staff. Delegates responsibilities, approves PTO. Create a monthly clinical staff calendar for proper assignment of duties. Assures proper quality execution and completion of staff’s assigned tasks.
- Manage physician schedules and adjust Practice Management templates accordingly in a timely manner.
- Provide clinical educational updates (to include but not limited to HIPAA & OSHA compliance) to staff at monthly staff meetings. Ensure staff understanding, sign off and monitor clinical compliance.
Requirements
- Proven work experience as a medical office manager or other office manager
- Knowledge of accounting, data and administrative processes and principles
- Ability to handle medical records discreetly
- Knowledge of medical issues and terminology
- Excellent organizational and time-management skills
- Ability to multi-task and perform well in stressful situations
- Communication skills and a customer service orientation
- Bachelor’s degree in healthcare administration, Business or relevant field
Job Type: Full-time
Pay: $26.30 - $27.79 per hour
