POSITION INFORMATION
The Legal Administrator will oversee the day-to-day operations of the law firm, ensuring efficient functioning across various departments. This individual will manage office processes, support the legal team, and contribute to maintaining a productive and organized work environment. The role requires a strong understanding of law firm operations, excellent organizational skills, and the ability to handle multiple tasks with a high degree of professionalism.
BASIC RESPONSIBILITIES
· Oversee the firm’s daily administrative operations, ensuring smooth workflow and efficient office management.
· Manage office supplies, equipment, and facilities to maintain an optimal working environment.
· Assist with billing, timekeeping, and financial reporting as needed.
· Liaise with clients, vendors, and other external parties on behalf of the firm.
· Manage and maintain office technology systems (computers, phones, printers, software), troubleshoot IT issues, coordinate with external vendors for complex issues, ensure compliance with security protocols, and support staff in using technology to enhance productivity.
· Maintain accurate and organized filing systems, both digital and physical, for legal documents and client records.
· Oversee accounts receivable and payable, ensuring timely invoicing, payment processing, and accurate record-keeping of financial transactions.
· Handle general office communication, including phone calls, emails, and correspondence.
· Support HR-related functions, including onboarding, employee scheduling, and benefits coordination.
· Supervise administrative staff and manage office workflow, delegating tasks as necessary.
· Ensure compliance with law firm policies, legal regulations, and confidentiality protocols.
· Coordinate and support marketing and business development activities as needed.
· Identify opportunities to improve office efficiency and implement best practices.
QUALIFICATIONS
· Bachelor’s degree or equivalent work experience.
· Previous experience in a law firm or legal environment is highly preferred.
· Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities.
· Excellent written and verbal communication skills.
· Proficiency in office software (Microsoft Office Suite, legal management systems, etc.).
· Ability to maintain confidentiality and work with sensitive legal information.
· Strong attention to detail and problem-solving skills.
· Ability to work independently and as part of a team in a fast-paced environment.
WORKING CONDITIONS
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to speak or hear. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
