Role Overview

PURPOSE OF JOB

The Executive Assistant's primary role will be to support the Management Team in the Austin office with various administrative functions.

Main Responsibilities And Duties

  • Coordinate meetings and conference calls.
  • Make travel arrangements.
  • Maintain office files, both electronic and hard copy.
  • Update office wide database of call notes relating to various marketing opportunities and current clients.
  • Maintain adequate supply of office supplies.
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.
  • Maintain comprehensive and accurate records.
  • Perform minor accounting duties.
  • Organize meetings, including scheduling, sending reminders, and organizing catering when necessary.
  • Answer phone calls in a polite and professional manner.
  • Welcome visitors and identifying the purpose of their visit before directing them to the appropriate department.
  • Manage the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
  • Represent JTC in a professional manner, displaying the ethical behavior we expect in all interactions, both internal and external.
  • Adhere to JTC core values and expected behaviors.
  • Any other duties as deemed necessary by Management.

Essential Requirements

  • Bachelor’s Degree.
  • Extremely strong attention to detail.
  • Proficiency in Microsoft Word, Microsoft Excel and Microsoft Outlook.
  • Excellent written, verbal and interpersonal communication skills.
  • Proven ability to multi-task and work well under pressure.
