Summary:
As office manager of The University of Illinois Urbana-Champaign Hillel, known as The Cohen Center, you will be responsible for overseeing the overall organization and cleanliness of the center, coordinating space use and program schedules, bookkeeping, maintaining donor records, providing administrative support, managing interns, and providing general customer service.
What you'll do:
- Manage accounts payable, receivable, and petty cash, oversee credit card reporting and track monthly budget in conjunction with Accounting Department of the Jewish Federation of Chicago.
- Manage and promote the Cohen Center’s revenue generating assets, including the parking lot, room rentals, and other opportunities as they arise.
- Manage space use, setup requests, and calendar for Hillel’s programs in the Cohen Center.
- Create, organize, and maintain donor and financial records and reports using Little Green Light, Excel, and other software as needed.
- Research and compose contracts for the Cohen Center
- Assist Executive Director by providing general administrative support including, but not limited to report generation, scheduling, correspondence, and document preparation.
- Greet and direct visitors (students, parents, donors, etc.); answer, screen, and route incoming calls, mail, and general emails.
- Responsible for organization, inventory, and neatness of all areas of the Cohen Center, including the office suite, programming spaces, and frequently used storage areas.
- Management of 10-14 interns who serve as the main greeters and support for staff.
- Provide additional support as needed, such as ensuring the completion of new hire paperwork, overseeing payroll reporting, and oversee the monitoring of security procedures.
- Schedules needs of the Cohen Center and interacting with Facility Corp’s staff, including but not limited to facility repairs, cleaning and security.
What you need to succeed:
- B.A. from an accredited institution or similar work experience required.
- 2-3 years of administrative, bookkeeping, or office experience is preferred.
- Demonstrated collaborative skills and ability to handle multiple project simultaneously.
- Friendly, dependable, detail oriented and organized.
- Experience with college students preferred.
- Proficient in Microsoft Office Suite, Google Docs.
- Knowledge of donor database management program (Little Green Light and others) preferred. Ability to learn new software systems is required.
- Familiarity with Jewish traditions preferred, openness to learning about Jewish traditions essential.
- Strong interpersonal, organizational, written, and oral communication skills required.
- Must be willing to have flexible hours.
What you'll receive:
The salary range for this role is $45,000-$50,000. We offer generous benefits including medical, dental, and vision insurance, 401(k) match, professional training, tuition reimbursement, paid family leave, up to 22 days of paid time off (starting with 15), up to 11 sick days (starting with 7), and up to 21 paid holidays. This position is union eligible.
