Administrative Assistant
Our client, a large professional services firm in the Villanova area, is seeking an Administrative Assistant to support their Technology team.
As an Administrative Assistant within our dynamic and fast-paced Technology team, you’ll be the go-to person for supporting Technology Senior Managers. We are seeking a highly organized, proactive, and detail-oriented self-starter. As an integral part of our team, you will provide high-level administrative support, enabling our executives to focus on strategic initiatives, business growth, and team effectiveness. This role will involve managing calendars, coordinating meetings, handling administrative tasks, planning events, and supporting various projects.
Responsibilities
Schedule large-scale business meetings and manage calendar conflicts for our Technology Senior Managers.
Flag calendar conflicts
Clear meetings (decline, reschedule, or cancel) when the manager is out of office.
Cancel / reschedule meetings based on required attendees’ declines or vacations.
Submit expense reports for senior managers and their teams, and chase receipts from employees using the manager’s credit card.
In partnership with Travel Services, arrange travel for senior managers and their teams.
Manage meeting arrangements and greet external visitors.
Handle sensitive information with the highest level of confidentiality and discretion.
Partner with the marketing team for team outings, including venue selection, sending reminders, and choosing menus.
Schedule and conduct internal events / celebrations (e.g., wedding showers, baby showers, anniversaries, team celebrations).
Schedule New Hire Prep Meetings and three-Month Check-Ins for managers and employees.
Maintain Tech Org Charts
Update personnel records
Process consultant invoices and vendor vetting.
Provide new hire onboarding support
Additional projects as needed
Qualifications
At least three years of administration experience
Proficient in Microsoft Office
Ability to be onsite daily
