QUALIFICATIONS :
High School Graduate
Secretarial experience and / or related post-secondary education
Experience in Technology Office Functions
Ability to accurately process heavy volumes of paperwork in a short time and meet deadlines
Excellent Communication skills
Working knowledge of Microsoft Office Suite
Ability to interact with vendors, office personnel and public via telephone, e-mail and in person
Ability to handle confidential / privileged information and mail
Ability to organize work area and filing systems
To organize the daily, monthly, quarterly and annual functions of the office of the Director of Technology, Provide routine secretarial / administrative services, incoming and outgoing correspondence, maintain records, schedule appointments and meetings.
Maintain computer files and business contacts, assist in the budget / audit processes and assist the Director of Technology on all projects in progress.
To receive, organize, maintain, file, report, communicate, manage and provide to appropriate persons, departments and organizations the information pertaining to the duties and obligations of the Director of Technology and to perform other related work that may be required.
ESSENTIAL FUNCTIONS :
Routine secretarial / administrative duties : screen telephone calls, take messages, open incoming mail, schedule appointments, maintain files, type correspondence, etc.
Maintain the Petty Cash Fund. Distribute requests promptly, and reconcile the account monthly
Prepare Board resolutions and ensure that all information necessary for upcoming Board meetings (public, committee, etc) is provided to the Office of the Superintendent.
Ensure that all information (notes, files, copies for handout, etc) necessary for upcoming meetings (Board and / or Internal) is organized and provided to the Director of Technology in a timely manner.
Become familiar with the software applications and network software in order to assist users who may be having difficulty.
Keep current with new developments with technology and network equipment as well as district software so that the district can remain current with the equipment's technological advancements.
Assist in training staff in all applications of user software.
Process purchase orders for the Technology Department.
Receive and process Help Desk calls.
Create and update Help Desk tickets as needed.
Obtain quotes for products and services as requested.
Update and maintain training lab schedule.
Update, maintain and notify staff of technology trainings being offered.
Review and prepare department payroll information.
Monitor and process department related reports (mileage, conferences, etc.)
Create documents and process mailings as requested.
Provide assistance to any position within the Technology Office on a temporary basis for a limited duration as needed.
