Position Purpose:
The Administrative Assistant provides administrative support to the Program Director and Assistant Program Director of the Crocker Harm Reduction Program. This role is essential in ensuring efficient day-to-day operations, maintaining organized records, coordinating schedules, and facilitating communication within the program. The Administrative Assistant will handle confidential and time-sensitive information while demonstrating professionalism and a commitment to harm reduction principles.
Principal Responsibilities:
- Provide direct administrative support to the Program Director and Assistant Program Director, including calendar management, scheduling meetings, and preparing materials
- Maintain organized and up-to-date files related to program operations, personnel, client services, finances, and compliance documentation.
- Assist in drafting, editing, and distributing reports, meeting minutes, correspondence, and program-related communications.
- Coordinate logistics for program meetings, trainings, and events, including room reservations, agendas, and materials.
- Order and track office supplies, harm reduction materials, and other program resources.
- Ensure program records and documentation comply with internal policies, funding requirements, and regulatory standards.
- Serve as a primary point of contact for internal and external communications, directing inquiries to appropriate staff as needed.
- Manage data entry and tracking for program metrics, reports, and grant-related documentation.
- Assist in onboarding new staff, maintaining training records, and tracking compliance with required certifications.
- Perform general clerical duties, such as filing, copying, faxing, and handling mail distribution.
- Support the development and implementation of program initiatives, special projects, and outreach efforts.
- Assist with financial and operational tasks, including invoice processing, petty cash tracking, and expense reconciliation.
- Maintain knowledge of harm reduction principles and best practices, ensuring alignment with program goals and community needs.
- Uphold the organization's policies and procedures while maintaining a welcoming and inclusive environment for all program participants.
- Complete other duties as assigned by the Program Director and Assistant Program Director.
Requirements:
- High school diploma or equivalent; associate’s degree preferred.
- At least two years of administrative experience, preferably in a healthcare, social services, or community-based setting.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn program-specific databases.
- Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Strong written and verbal communication skills, with cultural competency to interact with diverse populations.
- Attention to detail and ability to maintain confidentiality in handling sensitive information.
- Ability to work independently, take initiative, and support a fast-paced program environment.
- Experience coordinating meetings, managing calendars, and preparing reports.
- Bilingual (English/Spanish) preferred.
