What are the responsibilities and job description for the Human Resources Assistant- Compliance Team position at JWCH Institute?
Position Purpose:
The Human Resources Assistant will provide specialized administrative and clerical support to the Human Resources Department. Working closely with the Compliance Team, the HR Assistant will process all personnel changes, assist with audits and ensure compliance with agency policies and procedures. Additionally, the HR Assistant will collaborate with the Human Resources Manager to support a variety of personnel functions and contribute to the overall success of the agency's HR operations.
Principal Responsibilities:
- Process personnel changes, including transfers, reclassifications, promotions, and salary adjustments.
- Maintain employee personnel and medical files, ensuring accurate and confidential recordkeeping.
- Assist with internal and external audits by preparing and organizing personnel files and documentation.
- Ensure employees complete mandatory annual requirements, including health assessments, CPR/BLS training, and performance evaluations.
- Track and follow up on compliance deadlines, sending reminders and notifications as needed.
- Support the development and maintenance of compliance-related reports and documentation.
- Assist in responding to compliance inquiries and requests from employees and management.
- Collaborate with HR and other departments to ensure adherence to company policies and industry regulations.
- Maintain confidentiality and ensure secure handling of sensitive employee information.
- Perform other administrative duties to support the compliance team as needed.
Requirements:
- A Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent relevant experience.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- High level of accuracy and attention to detail in managing records, documentation, and compliance-related tasks.
- Strong interpersonal skills and a customer-focused attitude, with the ability to build positive relationships with employees at all levels.
- Excellent verbal and written communication skills, with the ability to convey information clearly and professionally.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Bilingual proficiency (English/Spanish) is preferred.
