What are the responsibilities and job description for the Human Resources Assistant- Compliance Team position at JWCH Institute?
Position Purpose:
The Human Resources Assistant will provide specialized administrative and clerical support to the Human Resources Department. Working closely with the Compliance Team, the HR Assistant will process all personnel changes, assist with audits and ensure compliance with agency policies and procedures. Additionally, the HR Assistant will collaborate with the Human Resources Manager to support a variety of personnel functions and contribute to the overall success of the agency's HR operations.
Principal Responsibilities:
- Support the new hire process by drafting and sending offer letters to selected candidates.
- Lead and facilitate new hire orientations, becoming the primary point of contact for new hire inquiries and ensuring smooth communication between the organization and new employees.
- Conduct orientation sessions to provide employees with information about agency policies, procedures, payroll, standards of conduct, and benefits.
- Process new hire documentation, including payroll forms, I-9 verifications, and collection of licenses, insurance, and renewal dates, as applicable.
- Guide new employees through onboarding requirements, such as document submission, background checks, Live Scan fingerprinting, and health assessments.
- Oversee the procedure for appointing providers to health centers, including the collection, verification, and presentation of credentials and references to appropriate review committees.
- Assist with internal and external job postings, applicant review, interviews, and the selection and hiring process.
- Provide technical assistance in developing job announcements, job descriptions, and personnel status changes.
- Manage communications such as sending job offers and rejection letters, and coordinate hiring documentation, including interview schedules and authorization signatures.
- Maintain employee personnel and medical files, ensuring accurate and confidential recordkeeping.
- Track performance evaluation and health assessment due dates, notifying supervisors as needed.
- Assist in managing the agency’s safety program to ensure compliance and promote a safe work environment.
- Develop, coordinate, and maintain all aspects of the agency’s volunteer program.
- Become certified as a Master Trainer by participating in the AIDET (Acknowledge, Introduce, Duration, Explanation, Thank You) train-the-trainer program.
- Conduct AIDET customer service training for new hires during orientation and provide refresher sessions for existing staff as needed.
- Provide verbal and written assistance to supervisors regarding personnel matters.
- Process personnel status changes, Motor Vehicle Reports, and other documentation as required.
- Support recruitment efforts by attending job fairs and recruitment events when needed.
- Perform other duties as assigned.
Requirements:
- A Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent relevant experience.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- High level of accuracy and attention to detail in managing records, documentation, and compliance-related tasks.
- Familiarity with HR processes, employment laws, and compliance requirements (e.g., I-9, EEO, and labor regulations).
- Understanding of benefits administration and personnel file management.
- Strong interpersonal skills and a customer-focused attitude, with the ability to build positive relationships with employees at all levels.
- Excellent verbal and written communication skills, with the ability to convey information clearly and professionally.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Bilingual proficiency (English/Spanish) is preferred.
