Position Overview
We are seeking an Administrative Assistant and Project Coordinator who will play a key role in supporting our operations. This dynamic role combines traditional administrative tasks and project coordination responsibilities with a focus on handling phone intake for legal clients seeking to hire us. While a limited amount of in-office presence is required, the majority of your work will be performed remotely. You will manage incoming calls, gather preliminary information, and determine if the callers’ cases align with our firm’s expertise, while also coordinating projects, supporting team communications, and ensuring the smooth execution of various administrative processes.
Key Responsibilities
- Administrative Support:
- Manage general office duties, including scheduling, filing, and internal communications
- Maintain and update databases/CRMs and other office systems
- Project Coordination:
- Assist in coordinating projects and tracking progress to ensure deadlines are met
- Collaborate with team members to streamline workflows and improve operational efficiency
- Phone Intake for Legal Clients:
- Answer inbound calls and conduct thorough screenings of potential legal cases
- Listen attentively and document key details to qualify leads accurately
- Provide a positive and professional first impression to callers seeking legal assistance
- Team Collaboration:
- Work closely with colleagues to ensure timely follow-up on leads and coordinated project efforts
- Assist in organizing team meetings, preparing reports, and managing project documentation
Qualifications
- Previous experience in administrative support, project coordination, or a related field is preferred
- Experience with call center operations or intake processes is an asset
- Excellent communication skills—verbal, written, and active listening
- Strong attention to detail, organizational skills, and the ability to multitask
- Proficiency in databases/CRMs, office software, and a willingness to learn new systems
- Ability to handle sensitive information confidentially
- Reliable internet connection and a quiet workspace for remote work
- Availability to work in the office on some days while primarily operating remotely
