Position Summary
Kahn, Dees, Donovan & Kahn, LLP, Evansville, Indiana. Our law firm has an opportunity to join our Business Law team. Under general supervision, this position supports the delivery of quality legal services to clients by providing administrative and technical assistance to attorneys, performing complex and specialized paralegal/legal assistant tasks, and working collaboratively and cooperatively with others in a fast paced, team-oriented environment. This position supports two partner-level attorneys as primary assignments, and which by nature of the position involves considerable use of initiative, organization and judgement.
Essential Functions
- Preparing Documents: Using word processing and document management software, processes correspondence and memoranda, as well as complex legal documents according to the requirements set by each practice group. Prepares, formats, proofreads, and edits various documents and business correspondence in a timely, appropriate manner.
- Organization: Helps to organize and manage practices for assigned attorneys. Reviews communications and manages deadlines for assigned attorneys.
- Processes: Maintains calendars for assigned attorneys, including meetings, due dates, and client-related matters, while considering competing priorities and deadlines. Facilitates project coordination, follow-ups, and progress tracking.
- Maintains Files: Organizes and maintains confidential client files in compliance with internal policies.
- Communication Liaison: Assists with client intake and scheduling. Professionally manages phone calls, emails and other correspondence, ensuring prompt and accurate responses.
- Timekeeping and Billing: Submits time entries for assigned attorneys in a timely manner. Assists attorneys with review of pre-bills and invoices. Coordinates client billing matters with the accounting department.
- Courts and Governmental: Files legal documents with state and federal courts and records deeds and other real estate documents. Coordinates with courts, as well as city and county offices for various client matters.
- Provides general administrative support.
Requirements
- 5 years of experience as paralegal, legal assistant or equivalent training or experience, or bachelor degree.
- Excellent time management skills and the ability to prioritize workload and efficiently handle multiple projects with competing deadlines.
- Demonstrates flexibility and initiative in anticipating what needs to be done.
- Superior organizational skills.
- Critical thinking and attention to detail.
- Strong computer proficiency in the use of MS Office and document management software.
- Ability to work both independently and collaboratively as part of a team.
- Excellent written and verbal communication skills.
