Position: Behavioral Health Clinic Office Coordinator

Rate: Commensurate on skill and experience.
Position Purpose:
Provides administrative, operational, and clinical support to the Behavioral Health Clinic and Director.
Essential Functions:

Oversees the BH referral processes including the management of client waitlist, provider schedules, including transition of care, new clients, and all referrals.

Assures appropriate referral documentation and insurance pre-authorizations are received.

Address client relation concerns and collaborate with appropriate departments to resolve issues.

Performs clinical functions to assist Nurse Practitioner such as collecting vitals, obtaining appropriate client medical records, scheduling medical appointments and other duties as appropriate.

Processes requests for referrals and acquires pre-approvals for individuals requiring additional medical, mental, and behavioral health services.

Provides ongoing reports and communication as needed to referring physicians, physician offices and insurance companies.

Works collaboratively with the Director of Revenue Cycle to assure referrals, preauthorization and other insurance requirements are met to enable billing and receipt of payment for services.

Communicate financial details to clients, including prior authorizations, collect co-pays upon client appointment, sliding scale fees, and forward all billing inquiries or concerns to the appropriate KMC staff.

Facilitates, and maintains current, provider credentialing with all insurances.

Learn EMR functionalities and acts as the Super User for BH providers and staff. Provide training for all staff and ensure work processes are being followed, and update processes as needed.

Oversees the process for maintaining departmental client and administrative files.

Assists Director by maintaining behavioral health clinic professional staff in-service education, competency, evaluations, and licensure records.

Assist Director with employee timekeeping; maintains employee schedules and tracks time off requests. Manage EMR to reflect correct employee schedule.

Assists Director with developing, and updating, all policies and ensure policies align to current regulations.

Assist the director in coordinating new hire interview and selection process, and provider onboarding and credentialing processes.

Perform administrative assistant roles, and cover, during time-off and as needed.

Assist with marketing and community participation and outreach events.

Complies with all hospital and departmental policies and procedures, safety program requirements, corporate compliance program, standards of conduct, all applicable statutes, rules, and regulations.

Maintains skills and knowledge through participation in educational programs, reading literature, attending workshops, and maintains affiliation with profession’s organization if applicable.
Job Qualifications/Experience/Skills:

High school diploma or equivalent.

Bachelor’s degree preferred.
-
One (1) year behavioral health experience.
-
One (1) year healthcare administrative experience preferred.

One (1) year Customer service skill and experience preferred
-
CERNER, EPIC, and Microsoft experience preferred.
